Position: ACCOUNTANT RECEIVABLES
JOB SUMMARY:

To manage customer billing, accounts receivable, collections and account reconciliations, ensuring that revenue is invoiced accurately and collected within agreed credit terms.

The role works closely with operations, commercial teams and customers to resolve billing disputes, reduce overdue debt, monitor credit exposure and maintain accurate financial records.

KEY RESPONSIBILITIES:

Customer Billing
  • Prepare and issue accurate customer invoices, credit notes and debit notes within agreed timelines.
  • Verify that invoices are supported by approved rates, contracts, quotations, job files, purchase orders and proof of service.
  • Review logistics charges, including transport, warehousing, freight, customs clearance, handling, storage, demurrage, detention and other value-added services.
  • Ensure all completed jobs and services are invoiced in the correct accounting period.
  • Coordinate with operations and commercial teams to obtain missing billing information and supporting documents.
  • Maintain customer billing schedules and ensure compliance with customer-specific invoicing requirements.
  • Upload invoices and supporting documents to customer portals where required.
Accounts Receivable and Collections
  • Monitor customer accounts and follow up on outstanding and overdue invoices.
  • Prepare and circulate accounts receivable ageing reports.
  • Coordinate collection activities with customers, commercial teams and management.
  • Obtain payment commitments and maintain accurate collection follow-up records.
  • Escalate long-outstanding balances, broken payment commitments and high-risk accounts.
  • Allocate customer receipts accurately and promptly against outstanding invoices.
  • Investigate unidentified receipts, short payments, deductions and payment discrepancies.
  • Support the preparation of bad-debt provisions and write-off recommendations.
Customer Account Reconciliation
  • Perform regular customer account reconciliations and resolve differences promptly.
  • Share statements of account and invoice copies with customers.
  • Investigate disputed invoices and coordinate with relevant departments to resolve issues.
  • Maintain accurate records of disputes, actions taken, responsible stakeholders and expected resolution dates.
  • Obtain customer balance confirmations when required for audits and financial reporting.
  • Ensure customer master data, billing details, payment terms and tax information are accurate and up to date.
Credit Control
  • Monitor customer credit limits and payment terms.
  • Identify customers exceeding their approved credit limits or showing signs of payment risk.
  • Support credit checks and the assessment of new and existing customers.
  • Ensure credit approvals and exceptions comply with the delegation of authority and credit-control policy.
  • Recommend credit holds or restrictions where customers exceed approved limits or fail to meet payment commitments.
  • Work with commercial and operational teams to balance customer relationships with financial-risk management.
Month-End Reporting
  • Support month-end closing activities related to revenue and accounts receivable.
  • Reconcile the accounts receivable subledger to the general ledger.
  • Review unbilled revenue and ensure completed services are invoiced or appropriately accrued.
  • Prepare reports on overdue balances, collections, disputes, credit exposure and unallocated receipts.
  • Provide commentary on significant movements and collection risks.
  • Prepare audit schedules and supporting documents for internal and external auditors.
  • Ensure transactions are recorded accurately and in the correct accounting period.
QUALIFICATIONS

SKILLS AND EXPERIENCE:
  • Bachelor's degree in accounting, Finance, Business Administration or a related discipline.
  • Three or more years of experience in accounts receivable, billing, collections or credit control.
  • Experience with in logistics, freight forwarding, transportation, warehousing, shipping or a similar industry is preferred.
  • Good understanding of accounting principles and accounts receivable processes. Experience using ERP or finance systems such as SAP, Oracle, Microsoft Dynamics or equivalent.
  • Good working knowledge of Microsoft Excel.
  • Knowledge of VAT and local invoicing requirements is preferred.
  • Strong numerical and analytical ability.
  • High level of accuracy and attention to detail.
