The Officer
- Human Capital Operations role in Makkah, Saudi Arabia supports the Human Capital team with recruitment coordination, employee onboarding, HR documentation, training support and routine employee services. The position requires accurate record management, effective coordination across departments and consistent administrative support throughout the employee lifecycle.

- Prepare onboarding kits, joining forms, requests and welcome letters for new employees.
- Collect, scan and file employee documents in physical and digital formats, including passports, visas, contracts and policies.
- Track outstanding documentation and follow up with employees to obtain required information.
- Maintain organized HR filing systems with appropriate labeling and sorting of employee records.
- Enter employee information into the HRMS or spreadsheets for new joiners, employee changes and exits.
- Maintain current trackers for medical insurance, visa status, contract renewals and leave records.
- Check HR data for accuracy and consistency in line with applicable internal policy and audit requirements.
Coordinate with Admin and PRO teams for employee medical appointments, visa renewals and document collection.
Prepare standard HR correspondence, including address proof and salary certificates, using approved templates and under appropriate guidance.
Support employee offboarding by collecting , tracking clearance documentation and updating exit records.
HR Activities and Internal Communication- Provide logistical assistance for HR events, townhalls and employee engagement activities.
- Distribute internal circulars, announcements and feedback forms.
- Collect and compile employee responses when required.
- Support training and other Human Capital activities as assigned.
Maintain employee files according to company audit and compliance guidelines.
Support internal and external audit preparation by providing required documents and records.
Identify missing documentation or inconsistencies and escalated them to the Executive or Senior Executive for appropriate action.
Team CollaborationWork with Payroll, Admin, IT and other cross-functional teams to support smooth day-to-day employee services.
Respond professionally to staff queries and provide guidance on basic HR procedures and formalities.
Desired Experience- 1-3 years of progressive experience in human resources, HRMS or administration.
- Experience supporting cross-functional collaboration.
- Ability to maintain accurate employee records and HR documentation.
- Familiarity with HRMS-based employee data management and administrative processes.
- Professional communication and coordination skills.
- Medical insurance.
