Job Specification

We are seeking a proactive and detail-oriented Customs & Import Coordinator to support all import, export, customs clearance, and international logistics activities for the facility in the Kingdom of Saudi Arabia. The role is responsible for ensuring the timely and compliant movement of materials, production parts, equipment, and operational supplies through Saudi customs processes while coordinating closely with freight forwarders, brokers, suppliers, and internal stakeholders.

The position plays a critical role in minimizing clearance delays, maintaining regulatory compliance, supporting production continuity, and ensuring efficient inbound supply chain operations for the plant.

Key Responsibilities
  • Customs Clearance & Import Coordination
    • Coordinate import, export, and customs clearance activities for production materials, spare parts, equipment, and operational supplies
    • Prepare, review, and manage shipping and customs documentation including commercial invoices, packing lists, HS codes, certificates of origin, and shipping documents
    • Liaise with customs brokers, freight forwarders, suppliers, and government authorities to ensure smooth and compliant clearance processes
    • Monitor inbound shipments and proactively resolve customs or documentation issues to avoid delays
  • Logistics & Operational Support
    • Work closely with logistics, warehouse, purchasing, and production teams to support material availability and production continuity
    • Coordinate urgent shipments and expedited clearance activities during operational emergencies or production risks
    • Support inbound logistics planning and transportation coordination for international shipments
    • Ensure timely communication of shipment status, delays, and risks to internal stakeholders
  • Compliance & Regulatory Management
    • Ensure compliance with Saudi customs regulations, import requirements, and company procedures
    • Maintain accurate import records, customs documentation, and shipment tracking data
    • Support audits, regulatory inspections, and internal compliance requirements
    • Monitor changes in customs regulations and communicate operational impacts where required
  • Cost Control & Process Improvement
    • Support optimization of freight, clearance, and logistics costs through effective coordination and planning
    • Identify opportunities to improve customs processes, lead times, and shipment visibility
    • Assist in developing standardized logistics and customs procedures for the plant
    • Contribute to continuous improvement initiatives within the logistics and supply chain function
  • Systems & Reporting
    • Maintain accurate ERP and shipment tracking system updates
    • Prepare shipment status reports, customs tracking updates, and logistics KPI reporting
    • Support development of logistics reporting structures and operational dashboards
    • Contribute to the ongoing development of the logistics and procurement function
    • Support new processes, systems, and operational initiatives as the organization grows
Qualifications & Experience
  • Diploma or Degree in Supply Chain, Logistics, International Trade, Business Administration, or related field preferred
  • Minimum 3-5 years' experience in customs, import/export coordination, freight forwarding, or international logistics within manufacturing, automotive, or industrial environments
  • Strong understanding of Saudi customs regulations, shipping documentation, and import/export procedures
  • Experience coordinating with customs brokers, freight forwarders, and government authorities advantageous
  • Proficiency in ERP systems, shipment tracking platforms, and Microsoft Office applications
  • Strong organizational and coordination skills
  • Good understanding of international logistics, customs processes, and supply chain operations
  • Attention to detail and ability to manage multiple shipments and priorities simultaneously
  • Problem-solving mindset with the ability to resolve customs and shipment issues efficiently
  • Effective communication and cross functional collaboration skills; ability to work under pressure in fast paced operational environments
