Reports To: School Operations and Blended Learning Manager

Purpose of Role:

SPARK Schools office managers liaise with parents, welcome visitors, and ensure the accurate administration of enrolment and student information closely assist the School Operations and Blended Learning Manager with the operations of the school. Office managers are integral to the SPARK Schools “culture” and our commitment to rigorous, engaging learning experiences for our scholars.

Requirements

Responsibilities:

Record Keeping & Documentation

  • Maintain accurate scholar information records on the scholar information system, including daily scholar attendance.
  • Provide school tours to prospective parents and serve as a liaison during the enrolment process, including collecting personal documentation for enrolment files.
  • Follow up with parents regarding scholar absences, and communicate relevant information to the school administration.
  • Responsible for assisting with the completion of the study hall billing spreadsheet, overseen by the School Operations and Blended Learning Manager.
  • Volunteer hours, tracking and reporting.
  • Responsible for staff attendance, tracking and reporting.
  • Visitor & Stakeholder Management

  • Direct visitors and stakeholders to the appropriate departments or staff members.
  • Provide school tours to prospective parents and serve as a liaison during the enrolment process.
  • Communicate and collaborate professionally with school staff as required.
  • Conduct self in a professional manner at all SPARK Schools events and to all stakeholders.
  • Conduct collections with parents owing school fees.
  • Facilities & Inventory Management

  • Assist in managing day­-to-­day facilities and maintenance issues, including facilitating visits by maintenance suppliers.
  • Assist the School Operations and Blended Learning Manager with managing all school inventory, including fixed assets (technology and furniture), stationery, cleaning supplies, and other resources.
  • Receive delivery of supplies.
  • Clerical & Administrative Duties

  • Perform clerical duties, including answering phones, taking and distributing messages, and corresponding with parents and staff members via email.
  • Provide clerical support to school administration, such as typing documents, filing, and organising paperwork.
  • Health & Safety

  • Attend to sick or injured children and liaise with parents/guardians about their children.
  • Issue tardy slips or admit notes for scholars returning to school after an absence.
  • Communication & Collaboration

  • Communicate and collaborate professionally with school staff as required.
  • Participate actively in staff development opportunities as a member of the SPARK Schools team.
  • Qualifications:

    The ideal candidate will possess the following qualifications:

  • Currently in third or fourth year studying towards an Undergraduate degree
