Job Description

The Institutional Quality Editor (IQE) is responsible for the internal review, editing, and refinement of institutional documentation to ensure clarity, coherence, consistency, and alignment with institutional standards.

The role serves as a central quality control function across academic, regulatory, and operational documentation, ensuring that all outputs are publication-ready and reducing reliance on external editorial services.

Key Responsibilities

1. Institutional Document Review and Editing (50%)

• Edit and review a wide range of institutional documents, including policies, procedures, study guides, reports, submissions, and strategic documents.

• Ensure documents are clear, well-structured, and free from grammatical, typographical, and formatting errors.

• Improve readability, logical flow, and overall presentation of documents.

2. Substantive Editing and Content Refinement (15%)

• Undertake substantive editing by restructuring content, refining arguments, and improving coherence where required.

• Identify inconsistencies, gaps, or unclear sections and work with authors to resolve these.

• Ensure documents meet internal standards before submission or publication.

3. Institutional Standards and Consistency (10%)

• Ensure consistency in tone, terminology, formatting, and institutional voice across all documentation.

• Apply and maintain institutional templates, style guides, and formatting standards.

• Support the standardisation of documents across faculties and departments.

4. Support to Quality Assurance and Regulatory Functions (10%)

• Work closely with Quality Assurance, Academic, and Regulatory teams to ensure documentation meets required standards prior to submission.

• Review institutional submissions to external bodies to ensure they are coherent, professionally presented, and aligned with institutional positioning.

• Flag risks in documentation that may affect clarity, interpretation, or presentation.

5. Academic and Learning Material Review (10%)

• Review study guides and learning materials to ensure clarity of instruction, consistency in structure, and appropriate presentation.

• Ensure alignment with institutional templates and formatting standards.

• Reduce reliance on external editors by ensuring internal materials meet publication standards.

6. Editorial Workflow and Turnaround (5%)

• Manage the flow of documents submitted for review, ensuring prioritisation and timely turnaround.

• Track revisions and ensure final versions are approved and ready for dissemination.

• Coordinate with internal stakeholders to ensure deadlines are met.

7. Capacity Building and Guidance (5%)

• Provide guidance to staff on improving document quality, structure, and clarity.

• Support the development of good writing practices across the institution.

• Contribute to building internal capability in document preparation and presentation.

Requirements

Educational Requirements

  • A relevant undergraduate qualification in Law, Education, English, Communications, or a related field.
  • A postgraduate qualification will be advantageous, particularly where it supports strong writing, analysis, or policy work.

Experience

  • A minimum of 3 to 5 years’ experience in editing, document review, or content development within a professional or regulated environment.
  • Experience working with institutional, academic, or policy-related documentation will be advantageous.

Skills and Competencies

  • Excellent command of written English, with strong editing and proofreading ability.
  • Ability to perform both linguistic and substantive editing.
  • Strong attention to detail and consistency.
  • Ability to engage with complex documents and improve clarity without altering intent.
  • Strong organisational skills and ability to manage multiple deadlines.

Knowledge

  • Understanding of structured document development, including policies, reports, and academic materials.
  • Familiarity with higher education or regulated environments will be advantageous but not essential.
