Overview
Position:
Front Office Admin Assistant — Summit Counseling Center - Atlanta.
Exempt status:
Full Time, Non-Exempt. Base pay range: $18.00/hr - $22.00/hr actual pay will be based on skills and experience.
Supports operations of the Front Office by providing internal and external customer service through the client lifecycle, interfacing with clinical and administrative staff for receptionist and administrative duties.
Reports to: Practice Administrator
Job scopeJob has recurring work situations involving high degrees of discretion. The need for accuracy and effective utilization of available resources is high. Errors in judgment could cause disruptions to the Center’s mission and adversely impact attainment of the Center’s goals. Incumbent operates under the supervision of the Practice Administrator. General expectations include:
- To support the vision, mission and guiding principles of The Summit Counseling Center in accordance with ethical standards.
- Observe applicable Safety, Health, and Environmental rules and guidelines during any procedures.
- Attend and participate in training opportunities and seminars relevant to this position.
- Adhere to Center operating procedures, benefit rules, employment, and safety policies/practices.
- Front Office
:
Provide the highest level of customer service to all staff and clients; professionally answer phone calls using a script; respond to emails and disperse postal mail; explain center services, procedures, and policies; schedule client appointments; manage paperwork and collect payments; data entry; keep office orderly and maintain professional cleanliness; track office supplies. - Administration
:
Attend front office meetings and one-on-one sessions; support the Practice Administrator and Front Office Team Lead in day-to-day tasks; assist with special projects on deadline; communicate effectively with clinical, front office, back office staff and management; remain calm and detail-oriented in a fast-paced environment; work both independently and in a team. - Customer Service
:
Interact with clients via telephone, email, and patient portal; initiate payment requests; provide statements and receipts; clarify Center policies; update charts as information is received; document all interactions in client charts.

Education and Experience
- Administrative Assistant: 1-3 years (Required)
- Customer Service: 3 years + (Required)
- Experience in mental health or medical front office (Preferred)
- Or equivalent skill, knowledge and experience related to this position
Knowledge,
Skills and Abilities
- Technology/Software:
Experience in Microsoft Excel; EHR and data management; HIPAA compliance familiarity;
Microsoft Office 365 Environment, SharePoint, and desktop applications - Communication:
Excellent interpersonal and communication skills; professional interface with clients, Partners, multiple departments, and Leadership staff; maintain professionalism internally and externally; discretion in sharing potentially confidential information; adaptability to changing policies - Other:
Excellent organizational and time management skills; flexibility with schedule, tasks, and/or duties; represents the mission of The Summit in all actions
