Position Overview
BCS Wealth Management is seeking a Client Service Associate (CSA) to join our Operations Team. This role supports one or more lead advisors by managing new account onboarding, custodial paperwork, money movement, and ongoing account maintenance - while delivering a high-touch service experience to high-net-worth and ultra-high-net-worth households.
Initially, the position will include limited administrative duties (phones, mail, basic office support). As CSA responsibilities expand, these duties will transition to another team member. The long-term focus is a dedicated client service role.
Position Details- Full-time, on-site (Monday - Friday, 8:00am - 5:00pm)
- Eligible for benefits
- Background in financial services and/or client service required
- Prepare and process new accounts, ACATs/transfers, and related paperwork (custodian applications, transfer forms), including review, submission, and verification.
- Manage new client onboarding workflows: engagement letters, client packets, checklists, CRM/portfolio system setup, email/marketing list updates, and welcome letters.
- Handle routine money movement: wires, journals, checks, RMDs/QCDs, contribution/distributions, and maintain documentation.
- Perform account maintenance: address, email, and beneficiary changes; verify updates with custodians and internal systems.
- Monitor custodial alerts (NSF items, transfer status, money movement issues) and maintain CRM task lists.
- Process check deposits: online deposit, update registers/logs, and file documentation.
- Serve as first point of contact for routine service requests (balances, distributions, online access issues), escalating as needed.
- Maintain accurate client data and ensure clean documentation and audit trails.
- Answer and direct incoming calls, ensuring a positive client experience.
- Sort and route incoming mail; coordinate outbound mailings.
- Provide basic office/event support (logistics for client events, mailings, monitoring team inbox).
- Detail-oriented and process-driven, comfortable with financial documents, custodial platforms, and CRM systems.
- Strong client service mindset with excellent written and verbal communication skills.
- Ability to manage multiple requests while maintaining accuracy and meeting deadlines.
- Enjoys improving workflows, following checklists, and collaborating within an advisory team.
