Essential Duties And Responsibilities
  • Sales assistance and coordination:
    • Answer and respond to phone calls to schedule appointments, facilitate the audit question list, and begin the sales process for leads.
    • Coordinate with community organizations to assist with contracted work for income-qualified customers.
    • Communicate with customers in a timely, warm, and helpful manner.
    • Assist with the project management and tracking of various individual jobs.
    • Assist Change Agents (sales team) by sending out What to Expect packets to customers and submitting permits.
  • Ongoing development and management of our CRM – Builder Prime:
    • Continued training for employees.
    • Technical administration of CRM
    • Coordinate integration with additional software as needed.
    • Maintain updated information in CRM.
    • Run reports from CRM.
  • Manage marketing and support community partnerships:
    • Write copy for print and website publications.
    • Manage relationships with marketing vendors and contracted partners to increase local company awareness and increase business.
    • Ensure marketing material is accurate and complete.
    • Help with events such as Home Shows and sponsored tabling events.
    • Connect with and set meetings with community partners.
    • Share information with community partners about BWB programs.
  • Point-person for the Michigan Home Energy Rebate (MiHER) program:
    • Manage the MiHER process and progress on all clients.
    • Follow up with the sales team and production to ensure progress is being made.
    • Assist with proposal and invoice submissions to MiHER.
    • Attend all trainings and meetings.
    • Collect feedback from auditors and production, and follow up with MiHER on questions or issues we are facing.
    • Keep the MiHER spreadsheet updated and follow up with BWB staff to ensure projects are making progress.
    • Create processes and procedures to ensure the completion of MiHER documents and projects.
    • Maintain relationships with MiHER trade allies.

Reporting Relationship: The Sales Administrative Assistant will report to the Office Manager.

Required Knowledge, Skills, And Abilities
  • Very strong customer service skills.
  • Able to handle a wide variety of work tasks in a day.
  • Detail-oriented and organized.
  • A self-starter and willing to problem-solve through tasks.
  • Ability to communicate effectively, both verbally and in writing, with clients and staff.
  • An understanding of Building Science, construction and home performance - a plus.
  • Previous experience with administering a CRM - a plus.
  • Previous experience with marketing - a plus.
  • Experience with Quickbooks.
  • A desire to build a Better World.
Certification(s), License(s), And Education
  • High school diploma required.
  • A bachelor’s degree is a plus.
Physical Demands And Work Environment

While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is frequently required to walk. The employee is occasionally required to stand and stoop, kneel, or crouch.
