Maintenance Scheduler

Wage: $60,000 – 80,000
Schedule: Compressed Work Week (9-hour dayshifts, every other Friday off)
YOUR ROLEReporting to the Maintenance Manager, the Maintenance Scheduler plays a vital and dynamic role supporting the Maintenance Department, and the Mill as a whole. This role provides confidential administrative support while serving as a liaison between various stakeholders.
Duties include facilitating effective communication, managing complex calendars, coordinating travel and expenses and handling diverse administrative duties. This role leads the practical application of the Maintenance schedule in collaboration with planners, supervisors and Departmental leadership. Understanding and consistent application of the terms of the Collective Bargaining Agreement in these responsibilities are a key responsibility of the role.
YOUR RESPONSIBILITIES- Primary responsibility for Maintenance scheduling including: daily time off requests, maintain and update schedules daily, confirm coverage for time off, prepare and communicate weekly manning lists, arrange and communicate weekend coverage, weekly call list
- Manage vacation requests for maintenance departments, and occasional coverage for Operations, Finance, and Power & Recovery departments
- Supporting the department in safety initiatives, including tracking and communication of safety statistics and programs
- Change in work flow during annual shutdown.
- Hourly and staff coveralls & uniforms:
Maintaining coverall inventory. Manage service provider and communicate change requests, repairs, cleaning and delivery of clothing - Manage communications regarding the Maintenance Schedules with employees, Union and Departmental stakeholders on an ongoing basis
- Plan meetings as requested.
- Maintain and prepare spreadsheets, including statistical summaries.
- Issuing PPE purchase slips, track and reconcile invoices
- Oversee document management processes including digital filing, record retention and archiving to ensure compliance and easy retrieval
SKILLS AND ABILITIES
- Self-directed and capable of working independently with minimal supervision
- Adept at handling multiple projects with competing priorities and deadlines
- Strong communicator at all levels, skilled in active listening, clear writing and presenting
- Commitment to confidentiality and problem solving & analytical abilities combined with excellent judgment and discretion
- Proactive and resourceful, taking initiative to advance ongoing projects and identify opportunities for improvement
- Team-oriented with a friendly, positive demeanor and a professional approach that enhances workplace culture.
- Diploma in Administration or equivalent
- Three to five years of related administrative experience
- A strong computer system aptitude and ease working with various type of software including Microsoft Office Suite products, SAP and UKG
- Previous experience working with Collective Agreements and unionized environments
