POSITION TITLE:Finance Coordinator

REFERENCE #:Purpose of Position:
The Finance Coordinator supports the Community Services Department by processing purchase orders, reconciling Visa transactions, and assisting the Community Services Manager in monitoring and maintaining departmental budgets. This position ensures that financial records are accurate, timely, and aligned with organizational policies.
Duties and Responsibilities:Core Financial Support (Approx. 85%):
- Verify, prepare, and process cheque requisitions and purchase orders (POs), ensuring accuracy, approvals, and compliance with organizational policies.
- Enter POs into the accounting system and monitor order status, following up with vendors on delivery or invoice discrepancies.
- Reconcile Visa and credit card statements monthly, matching transactions with receipts and verifying proper coding and approvals.
- Maintain and update accurate financial records, including filing supporting documents and maintaining audit trails.
- Assist the Community Services Manager in tracking and monitoring departmental budgets, analyzing expenditures, and reporting variances.
- Support month‑end and quarter‑end financial closing processes by preparing schedules and reports.
- Generate regular financial reports using accounting software and Excel as needed to support decision‑making.
- Respond promptly to internal queries from management or staff regarding budget status, expenses, and purchasing procedures.
- Ensure compliance with organizational financial policies, including purchasing and expense management guidelines.
- Assist in preparing for internal and external audits by gathering documentation and responding to auditor requests.
- Identify and report any irregularities or discrepancies in financial transactions.
- Support efforts to improve finance processes, suggesting efficiency or accuracy enhancements.
5% other duties as required.
Professional Certification,Education and Experience:
- Diploma in accounting, finance, or a related field.
- Minimum 2 years of experience in a finance or administrative support role.
- Ongoing professional development in finance or accounting practices is preferred.
- Participates in the planning, development, and ongoing monitoring of departmental budgets by providing accurate and timely financial information and reports.
- Assists the Community Services Manager in tracking expenses and identifying variances to ensure budget adherence and cost‑efficiency.
- Supports cost control initiatives by verifying purchase orders and expense transactions align with approved budgets.
The Finance Coordinator oversees the daily operations of the Administrative Receptionist.
Skills and Abilities:- Strong attention to detail and accuracy in financial data entry and reconciliation.
- Proficiency in Microsoft Excel and familiarity with accounting software.
- Good understanding of budgeting processes and financial controls.
- Strong organizational and time management skills to meet deadlines.
- Discretion and confidentiality when handling sensitive financial information.
- Adaptability to changing priorities and willingness to learn new processes.

Normal Day shifts - 7 hours. Non‑normal shifts may be required.
Pay Grade:Starting at $30.53 - $33.72 / hour depending on education & experience
