This position works onsite full‑time.
Responsibilities- Assist with typing, transcribing, and revising documents.
- Make meeting arrangements, travel itineraries, and handle expense statements and reimbursement requests.
- Save and profile pleadings and other documents in the document management system.
- Enter billable time, revise time entries, and produce prebills.
- Create and organize notebooks, large mailings, and file organization.
- Provide on‑site support: mailing, copying, printing, scanning.
- Demonstrate effective teamwork and communication with team members and all firm personnel.
- Actively participate in regular team meetings, exchange information and training tips.
- Update project log with pending and completed tasks.
- Operate office equipment including PCs, printers, phones, copiers, facsimiles, and typewriters.
- Remain calm under pressure and handle office demands.
- Conduct all business confidentially.
- Perform other duties as assigned.
- Additional functions for Kansas City location:
- Retrieve, sort, and scan incoming mail related to immigration team; save to appropriate folders and process as directed.
- Prepare and submit detailed expense reports for USCIS filing fees, ensuring accuracy and compliance with firm policies.
- Collect and organize receipts and supporting documentation for all other credit card transactions related to immigration casework.
- Liaise with finance or accounting to ensure timely reimbursement and record‑keeping.
- Organize and maintain physical files for all active and closed immigration cases with the information governance team.
- Periodically audit physical files for completeness and consistency with electronic records.
- Coordinate with Info Gov for archiving or retrieving long‑term files.
- Ensure that approval notices and letters are saved in correct locations.
- Assist with special projects, such as preparing for I‑9 audits or updating procedural manuals.
- Participate in team meetings, take notes, and distribute meeting minutes.
- Other duties as assigned.
- High School Diploma or GED required; 2‑year degree preferred.
- 1–2 years of relevant experience required, preferably in a legal environment.
- Minimum typing speed of 60 words per minute.
- Basic proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) required.
