O&M Support Service Coordinator

Provide operational, administrative, and logistical support to the O&M team to ensure smooth day‑to‑day functions. This includes coordinating work orders, managing documentation, tracking supplies, supporting payroll and purchasing, and serving as a key liaison between internal staff and external partners, vendors, and customers.

Principal Duties and Accountabilities:
  • Serve as a central point of contact for technician support, internal coordination, and communication of operational updates.
  • Manage uniform ordering and distribution, office supply inventory, and coordination of office equipment maintenance.
  • Support the payroll process by preparing and verifying technician hours, coding labor reports, and entering data into the USE‑NNSA Dashboard.
  • Maintain training matrices, key logs, and calendars for PTO, on‑call schedules, and events.
  • Receive, dispatch, and document work orders from CPZ and Honeywell; update status in Maximo and the USE‑NNSA Dashboard.
  • Complete and file PMs and work orders digitally using Maximo, Bluebeam, and other systems.
  • Assist in developing reports, tracking spreadsheets, and special project documentation.
  • Provide backup support to the CPZ Helpdesk and Purchasing Agent, including PO creation, invoice reconciliation, and material receiving.
  • Ensure accuracy in sensitive processes such as camera/photo handling and certification approvals.
  • Support planning and logistics for internal events and celebrations.
  • Assist with onboarding coordination and access setup for new hires.
  • Act as liaison between field technicians and HR teams to help with scheduling, clearances, and general support.
Education:
  • High school diploma or equivalent required; associate degree or relevant coursework in business administration, operations, or facilities management preferred.
Experience:
  • Minimum 3 years of experience in an administrative, operations coordination, or facilities support role.
  • Experience with government, compliance‑regulated, or engineering environments is a plus.
Knowledge, skills, and abilities:
  • Capability to pass Q‑level‑clearance to work in a secure government facility including credit, drug, and legal background checks required.
  • Strong attention to detail with ability to manage large volumes of data and documentation accurately.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills; able to interface professionally at all levels.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with Maximo, Bluebeam, and dashboard systems preferred.
  • Ability to manage multiple tasks, meet deadlines, and adapt to shifting priorities.
  • Comfortable working independently and collaborating with cross‑functional teams.
  • Confidentiality and discretion with sensitive information such as payroll, personnel data, and compliance‑related materials.
Physical and/or travel demands:
  • Position is primarily office‑based with occasional time spent in warehouse or engineering work spaces.
  • Must be able to sit or stand for extended periods and lift up to 25 lbs. occasionally (e.g., receiving deliveries or handling office supplies).
  • Minimal travel required, mostly local if any, for training or errands related to event coordination.
Benefits and Compensation:
  • The range for this position has been established at $24.50 to $34.00 per hour and is U.S. Engineering’s good faith and reasonable estimate at the time of the posting. The compensation offered to the finalist selected for this role will be based on a variety of factors, including but not limited to internal equity, experience, education, specialty, and training.
