Who we are looking for:

VML is seeking an Administrative Assistant who will provide support to our North America-based members of the leadership team, as well as perform light administrative duties in our Kansas City office. The ideal candidate is self-motivated, detail-oriented, and thrives in a fast-paced environment. This person must have the ability to handle multiple priorities at once, build strong relationships across executive leadership, and have a flexible working style.

Attention to detail and ability to excel in a fast-paced environment is key.

The Administrative Assistant role requires onsite coordination, and as such only applicants local to the Kansas City area can be considered at this time.

What you'll do:

* Liaise be the point person for questions and requests directed to senior leaders they are supporting. Effectively communicate with executives, leaders and team members across the organization. Manage and prioritize time to ensure collaboration across the team.

* Coordinate Provide calendar, meeting, and complex travel planning (both domestic and international), track and maintain conference room schedules and availability. Help executives manage time throughout the day and adjust schedules as needed. Manage time entry, expense reports, and expense reimbursement in a timely fashion. Work with clients to schedule meetings as required.

* Organize Arrange and partner to plan internal meetings and events (such as offsite meetings, town halls, and team events), including event space, food, and travel itineraries. Handle business, company, and personnel details of highly confidential and sensitive nature, and engage with high level contacts inside and outside the company.

* Connect Build relationships across the NA team and work well alongside a wide variety of people and teams.

* Support Work with building management and vendors to ensure facilities are operating smoothly. Uphold and manage the appearance of the office including reception, kitchen, common areas, and keep supplies at the office stocked. Warmly welcome our clients and visitors and be the owner of our guest experience.

Who you are:

* Self-Motivated Able to stay motivated. Enjoys autonomy and takes initiative. Ability to prioritize and work through interruptions.

* Organized Meticulous and well-organized.

What you'll need:

* Minimum of 6 years of administrative support experience supporting an executive team.

* Experience working with tight deadlines while maintaining flexibility and managing a wide range of priorities and expectations.

* Experience organizing and processing administrative documentation including contracts, shipping, and correspondence.

* Ability to coordinate extremely busy professional schedules through effective calendar management.

* A flexible working style to complete deadlines.

* Excellent written and verbal communication skills.
