Purpose of Job: The job of the registrar is to perform specialized and responsible clerical and technical tasks related to the maintenance of student records and files, as well as related duties as required in the School Counseling department and maintaining records in Tyler Information Systems.

Essential Duties and Responsibilities:

  • Maintenance of student records on the campus level, processing enrollment, transfers, and withdrawals from the campus. Ensure that correct withdrawal codes and information in entered in the Tyler Student Data System.
  • Accurately enrolls and withdraws students on a daily basis. Maintain changes to the Tyler student data system.
  • Efficiently inputs transcript analysis forms of transfer students for the purpose of transferring grades and credit hours into the district student information systems. Enter assessment scores for students and assist with the Grad Tracking functions of Tyler for Graduation.
  • Maintains an efficient filing system for the building and student records.
  • Compiles a variety of reports and recommendations (e.g. Graduation Rate Reports, Year End Reports, Honor Roll Listing, etc.).
  • Maintain progress reports and report cards to include grade verification rosters, failing lists of students, calculate grade point averages after every grading windows.
  • Input transcripts of incoming students for the purpose of transferring grades and credit hours into the district student information systems.
  • Utilize the Naviance system for eDocs to facilitate transcript requests, college applications, and final transcripts after graduation.
  • Performs enrollment and withdrawal maintenance of student records as well maintain cumulative folders for all students (e.g. requests records on new students, data entry of all student records) for the purpose of ensuring compliance with financial, legal, state, and federal requirements.
  • Attends meetings as required.
  • Correct student information in Tyler for the purposes of clean and efficient Core Data Submissions.
  • Maintain confidentiality per FERPA guidelines in the school.
  • Collaborate with school counseling teams to ensure grades are entered correctly by all teaching staff on the campus.
  • Work independently in the performance of all functions necessary to maintain an efficient and organized system while maintaining professional and confidentiality.

Supervisory Responsibilities: None

Required Qualifications:

  • High school diploma or GED certificate.
  • Accurately type a minimum of 40 wpm.
  • 80% proficiency on written clerical skills assessment.
  • Proficiency with Microsoft Office applications (spreadsheet, word processing, Power Point)
  • Two (2) years prior clerical/secretarial experience
  • One (1) year experience with Tyler
  • Willingness to be trained in Naviance eDocs

Length of work year: 12 Months

Benefits: Health and Dental Insurance are provided. KCPS Defined Benefit Pension plan – mandatory 9% contribution is required from employee and matched by KCPS;
