Overview

Spotlight is a fast-growing, tech-enabled services firm focused on Analyst Relations (AR)—the strategic discipline of engaging with industry analysts (like Gartner and Forrester) to influence market perception and drive business growth. This is a mission-critical function for major B2B and SaaS organizations. As our Enterprise Systems Administrator, you will be fundamental to our operational excellence, working within our Enterprise Systems team and closely with cross-functional stakeholders.

You will be the technical foundation for our operational databases, ensuring that all enterprise systems are secure, operationally efficient, and proactively managed to accelerate business productivity.

The Enterprise Systems Administrator is a hands-on role responsible for the configuration, maintenance, and reliable operation of our core business applications. Reporting to the Sr. Director of Enterprise Systems, this role serves as the primary administrator for our operational databases, ensuring data integrity, system security, and user functionality that supports our business user and revenue operations goals.

Responsibilities
  • Platform Ownership:
Act as the dedicated, hands-on administrator for our primary operational databases, including Quickbase, Hub Spot, and Net Suite.
  • Database Maintenance:
Manage all aspects of database health, including data modeling, defining and enforcing table and field relationship management, and maintaining system integrity.
  • User and Security Management:
Administer user permissions, roles, access levels, and security settings to ensure compliance with data governance policies.
  • Reporting & Configuration:
Design, build, and maintain standard reports, dashboards, and custom workflows within the systems as defined by process owners.
  • Data Hygiene:
Execute ongoing data quality and cleanup initiatives, collaborating with Marketing Operations and Sales Operations to ensure data accuracy and consistency.
  • External Reporting Delivery:
Support the creation and delivery of monthly reports for leadership, including anticipating and implementing system configuration changes necessary to evolve reporting as business requirements mature.
  • Data Transformation:
Utilize advanced data transformation skills, including proficiency with tools like Power Query, SQL, or other scripting/ETL technologies, to efficiently transform and prepare complex data sets for analysis and system imports/exports, driving an evolution of our data handling capabilities.
  • System Support:
Act as the point of contact for internal users, troubleshooting system errors, configuration issues, and providing timely resolutions.
  • Process Documentation:
Create and maintain comprehensive documentation and training materials for core system processes and changes.
Qualifications
  • Database Fundamentals:
Proven understanding of relational database structures, data modeling concepts, and principles of Master Data Management (MDM).
  • Enterprise Systems

    Experience:

3-5 years of hands-on experience as an administrator or analyst supporting enterprise-level business applications.
  • Data Analysis and Transformation Tools:
Advanced proficiency in data manipulation and transformation, with a proven ability to leverage various tools (including but not limited to advanced spreadsheet functions and specialized data querying languages like M code/Power Query) to meet complex data needs. Demonstrated experience evolving and improving existing data processes.
  • Problem-Solving:
Strong analytical skills with the ability to translate business process requirements into technical system solutions.
Highly Desired System Experience
  • Quickbase

    Experience:

Direct, hands-on administration or development experience with Quickbase (or other low-code tools) is a significant advantage.
  • CRM/ERP Knowledge:
Experience with Hub Spot and/or Net Suite administration or integration.
  • BI Tools:
Prior exposure to connecting systems to external BI tools (e.g., Tableau, Looker, NSAW) or supporting BI data pipelines.
