Townsen Memorial Hospital is looking for a Medical Receptionist to join our team!
Medical Receptionist duties and responsibilities include greeting patients, scheduling appointments, performing clerical duties, and providing medical procedural support. Exhibits professionalism at all times while answering inquiries and providing information to the general public, visitors, patients, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the organization. Supports medical staff by completing administrative requirements as assigned.
Responsibilities- Demonstrate customer service standards: greet each patient and visitor, maintain appropriate body language, and provide exceptional service.
- Greet patients as they arrive and provide them with appropriate information.
- Assist patients to complete all necessary forms and documentation.
- Ensure completeness and accuracy of patients’ forms and log all demographics in the EMR system.
- Update patients’ information in the database.
- Move patients through appointments as scheduled and notify providers of patient arrivals.
- Respond and comply with requests for information, including sending faxes and e‑mails.
- Answer telephone inquiries and handle calls, including transfers and messages to appropriate staff.
- Maintain patient accounts by recording and updating personal and financial information into e‑clinical.
- Record and collect patient charges, ensuring revenue is obtained.
- Call patients to remind them of upcoming appointments.
- Keep patients’ families informed of patient status.
- Schedule and reschedule patients’ appointments and update appointment calendars.
- Create and label appropriate charts for each patient.
- Manage filing and record‑keeping activities and obtain required documents for patient charts.
- Coordinate mail flow in and out of the office.
- Maintain stock of forms and office supplies.
- Keep the reception area well maintained, neat, and clean.
- Sign in vendors and visitors according to facility policy.
- Perform other related duties as assigned.
- Knowledge of administrative and clerical procedures, systems, and office terminology.
- Computer proficiency with Microsoft Office (Outlook, Excel, Word) and other relevant software applications.
- Strong attention to detail and ability to complete work tasks thoroughly.
- Self‑control, composure, and ability to manage emotions in difficult situations.
- High stress tolerance and ability to handle criticism calmly.
- Adaptability and flexibility in a changing workplace.
- Ability to work independently with minimal supervision.
- Organizational skills and task‑orientation.
- Polished patient interaction skills, professionalism, and phone etiquette.
- Energetic desire to learn and develop new skills.
- High School Diploma or equivalent.
- One (1) year of customer‑service experience.
- Basic Life Support (BLS) Certification.
