Recruiting/Onboarding Coordinator - Temporary

Built on a legacy of quality and innovation, we are seeking a Temporary Bilingual Recruiting Coordinator to join our team and support our continued growth.

This role will be involved in ensuring an exceptional candidate and new hire experience. The majority of this role will be dedicated to coordinating the new-hire journey from offer acceptance through their first day.

Essential

Job Duties and Responsibilities
  • 70 percent Onboarding and 30 percent Recruiting
  • Prepare and send offer letters, employment contracts, and new-hire paperwork accurately and promptly.
  • Ensure all necessary documents are signed and returned within established deadlines.
  • Initiate and track background checks and drug screenings (where applicable), acting as the main point of contact for vendor questions.
  • Coordinate with IT and facilities teams to ensure new hires have their equipment (laptops, monitors, etc.), necessary system access, and workspace ready for Day 1.
  • Manage the new-hire data entry and setup within the HRIS (Human Resources Information System).
  • Communicate regularly with new hires between offer acceptance and start date to maintain engagement and provide updates.
  • Organize and facilitate the weekly/monthly new-hire orientation sessions.
  • Develop and distribute welcome packets and introductory materials.
  • Maintain accurate and compliant employee files, ensuring all mandatory forms (e.g., I-9 documentation) are completed.
  • Track and report on key onboarding metrics, identifying opportunities for process improvement.
  • Assist Recruiters with posting job descriptions across various job boards and career sites.
  • Review applications and resumes to determine basic qualifications for entry-level roles.
  • Conduct initial phone screens for a limited number of roles (e.g., Internships, administrative positions) to assess candidate interest and basic fit.
  • Schedule complex interviews (phone, video, in-person) between candidates and hiring managers/interview teams.
  • Manage the interview calendar and send timely confirmations, reminders, and preparation materials to all parties.
  • Ensure the Applicant Tracking System (ATS) is kept up-to-date with accurate candidate statuses, interview notes, and disposition reasons.
Minimum Requirements and Qualifications
  • 1+ year of experience in an administrative, coordination, or human resources-related role.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proven ability to manage multiple concurrent tasks and strict deadlines.
  • Excellent written and verbal communication skills; comfortable communicating with people at all levels.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
