Job Summary

The Medical Office Assistant (MOA) provides administrative and clerical support to Family Physicians, Nurse Practitioners, and patients at the Martin Street Outreach Clinic and Urgent & Primary Care Centre. This role ensures smooth clinic operations and a welcoming environment for all.

Reporting Relationships

This position reports to the MOA Coordinator at One Sky Community Resources. Daily work is directed by Interior Health’s Clinic Manager and the Martin Street Outreach Clinic’s Provider Collective.

Clinic Overview Martin Street Outreach Clinic

This clinic provides long-term, relationship-based primary care to individuals with complex health needs, including mental health challenges, substance use, and social vulnerabilities. Services are delivered by a collaborative team of physicians, nurse practitioners, nurses, social workers, and allied health professionals. The clinic operates as anOAT (Opioid Agonist Treatment) Clinic, offering supervised medication such as methadone or suboxone to support individuals with opioid use disorders.

Additional

services include:
  • Mental health and substance use support
  • Chronic disease management
  • Preventive care and health education
  • Coordination with community resources and social services
  • Trauma-informed care and harm reduction approaches

The clinic is operated in partnership with Interior Health and works closely with community agencies such as Pathways Addictions Resource Centre, South Okanagan Women in Need Society (SOWINS), and other local service providers to ensure wraparound support for patients.

Urgent & Primary Care Centre

Operating during evenings and weekends, this centre provides same-day access to care for non-life-threatening health concerns. It serves individuals, families, and seniors who may not have a regular primary care provider or need timely medical attention.

Services include:
  • Assessment and treatment of minor injuries and illnesses
  • Prescription renewals and medication management
  • Referrals to specialists and diagnostic services
  • Health Connect Registry support to help patients find long-term care providers
Key Responsibilities Administrative & Clerical Support
  • Maintain efficient clinic operations through scheduling, document preparation, and provider support
  • Facilitate telephone conferencing and meetings as directed by the Clinic Manager and Providers
  • Collect and manage incoming forms and information requests for Providers, ensuring timely completion
  • Chart necessary documents into the correct patient chart using Med Access
  • Prepare and send requisitions, referrals, and medical documentation
  • Submit billing through Teleplan/MSP and manage third‑party billings (e.g., WCB, ICBC, RCMP, DVA); communicate daily billing documentation to the Billing Clerk
  • Maintain patient records and filing systems
  • Manage incoming and outgoing phone calls, emails, and faxes, relay messages promptly
