Clerical, Office Administrator/ Coordinator
The Position
Coordinating daily court deposit processing, bank deposits, change orders, petty cash, and change fund management. Providing primary contact with the public and resolving accounting, receipting, and cash drawer issues. Processing writs of execution, managing CIV-543 spreadsheets, tracking PVCK checks, address verification letters, and unclaimed property funds. Maintaining accuracy of documents from jail or online bail postings, entering and updating arrest bonds, and preparing motion, tickle, and audit reports.
Performing bookkeeping tasks such as cost collections, bail forfeitures, bail exonerations, return of civil cash bonds, disbursements, and PFD executions. Managing incoming and outgoing documents, answering customer inquiries, calculating pre‑ and post‑judgment interest, and preparing monetary judgments across multiple systems.
- Process daily court deposits, bank deposits, and change orders.

- Troubleshoot accounting and cash drawer issues.
- Process writs of execution and maintain CIV‑543 spreadsheets.
- Track PVCK checks, address verification letters, and unclaimed property funds.
- Ensure accuracy of documents from jail or online bail notifications.
- Enter and update arrest bonds in each case.
- Process motion, tickle, and audit reports.
- Perform bookkeeping for cost collections, bail forfeitures, bail exonerations, return of civil cash bonds, disbursements, and PFD executions.
- Handle incoming and outgoing documents and customer inquiries.
- Calculate pre‑ and post‑judgment interest and prepare monetary judgments.
- Process assigned case or document types across multiple systems.
- Outstanding work habits regarding attendance, punctuality, and leave use.
- Experience working with confidential or sensitive information.
- Ability to handle stressful and sometimes hostile situations with tact and diplomacy.
- Proven customer service skills, handling difficult or dissatisfied customers.
- Experience maintaining office files and record systems.
- Ability to multi‑task in a fast‑paced environment with numerous interruptions.
- Ability to work independently and as part of a team.
- Proficiency in MS Outlook, Word, and Excel.
- High school diploma or General Education Development (GED) certificate.
- One year of office clerical experience.
Additional office clerical experience may substitute for the high school diploma or GED on a month‑for‑month basis. Completion of 36 semester credit hours or 48 quarter credit hours of accredited college coursework may substitute for the required clerical experience. Appropriate vocational training such as legal secretary, paralegal, or office skills may also substitute for the experience on a month‑for‑month basis.
Work HoursFull‑time court employees work 37.5 hours per week, Monday – Friday, 8:00 a.m. to 4:30 p.m., with a one‑hour lunch break.
