Responsibilities
  • Submit, process, verify, and reconcile invoices in a timely manner to ensure vendors are paid.
  • Review invoices for accuracy and proper approvals.
  • Perform 3‑way matching and manual entry of invoices without purchase orders.
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports and recording entries.
  • Maintain professional relationships with vendor billing departments.
  • Resolve purchase order, contract, invoice, or payment discrepancies and ensure credit is received for outstanding memos.
  • Maintain accounting ledgers by verifying and posting invoices for account transactions.
  • Manage the AP inbox for invoice submissions, statement reconciliation, remittance advice, lien waivers, and billing issues; direct escalations to the appropriate team member.
  • Assist with month‑end preparations.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Maintain historical records by microfilming and filing documents.
  • Protect the organization’s confidential information.
  • Update job knowledge by participating in educational opportunities.
  • Complete related tasks as needed to accomplish accounting and organizational missions.
Qualifications
  • 5+ years of experience in Accounts Payable.
  • Proficiency with PCs, data entry, general math, and MS Excel (V‑Lookup and Pivot tables).
  • ERP experience required; SAP preferred.
  • Ability to work overtime and accommodate occasional travel.
  • Professional office etiquette at all times.
  • Physical requirements:

    sitting for long periods, standing, walking, speaking, visual acuity, finger dexterity, reaching arm’s length, and lifting up to 25 pounds.
