Job Description

We have an opening for a people‑motivated, deadline‑driven, methodical, organized, and impartial Human Resources Administrator. The role will focus on delivering exceptional, timely, and streamlined administration for the Human Resources Department. Responsibilities include sending all new‑hire documentation, developing onboarding schedules, coordinating workforce review schedules, assisting with workers’ compensation items, employee relations, and assisting with workforce training and development research. The HR Administrator will manage the HR General inbox, serve as a liaison for inquiries, and act as the backup for the HQ main phone lines and front office.

Responsibilities
  • Manage the HR General calendar and mailbox—the primary liaison and delegator for all incoming HR items to the appropriate HR representative.
  • Oversee, track, and report the Accountable plan submissions and record keeping.
  • Create and organize new hire physical files, assisting with managing personnel files physically and virtually.
  • Review and validate HR department credit card reconciliation and expenses, benefits deductions, including billing review for health benefits billing statements by the 26th of each month.
  • Ensure labor posters are accurate and up to date, sending jurisdictional updates to applicable employees.
  • Prepare and organize new team members' onboarding paperwork and schedules, including integration reviews (30, 60, 90‑day), new hire policies, and I-9 verification for e‑signature within the first 3 days of employment.
  • Ensure all departments, organizational units, and charts have employees correct and updated information (i.e., manager, names, titles, phone numbers, and address changes).
  • Finalize new hires' schedules with managers; send out new hire invitations 1 week before the new start date.
  • Coordinate workforce review schedules, gathering all needed items and ensuring deadlines are met.
  • Create drafts for Annual Holiday schedule, holiday, anniversary, and birthday reminders for HHR approval.
  • Engage with new hires by sending check‑in emails, uplifting messages, and ensuring their integration period is going smoothly.
  • Co‑lead in the Agency Culture Committee and IMI Safety Committee.
  • Assist with periodic workforce job description reviews, researching general comparable(s).
  • Assist with recruitment efforts as needed.
  • Assist in the process of data gathering for DOL regulations, candidate tracking, and workforce analytics from different sources and systems.
  • Assist employees with basic HR needs, escalating any employee relations and behavioral matters to the HR Manager.
  • Help maintain HR administrative records, including worker compensation, notices received from state departments, etc.
  • Perform other duties as assigned.
  • Travel less than 10%.
Education & Qualifications
  • College Degree in Business or a related field, or related experience.
  • Experience working in Human Resources with competence in full‑cycle HR and its functional areas, including recruitment, onboarding/offboarding, labor compliance, multi‑state payroll, benefits, employee relations, etc.
