Job Summary

Meet and greet clients and their pets, coordinate and represent all aspects of client services, and serve as a goodwill ambassador for the hospital.

Education and Experience
  • High School Diploma.
  • Experience working with the public (e.g., restaurant, retail, or service business).
  • Experience in a veterinary hospital or other doctor’s office is a plus.

  • Scheduling appointments.
  • Determining and scheduling emergencies.
  • Delaying disputed charges pending supervisor review.
  • Resolving client service issues within established guidelines.
Physical Requirements
  • Dependable attendance.

Duties
  • Client Service
    • Practice the VCA Mission Statement and Three Steps of Service.
    • Ensure clients and pets feel welcome; greet by name.
    • Build rapport and quickly understand client needs.
    • Guide new clients through registration and inform them available services.
    • Inform clients about waiting times if delays occur.
    • Educate clients on general animal husbandry (diet, vaccinations, dental care, routine labs, heartworm prevention, flea and tick control).
    • Generate fee estimates for treatment or surgery.
    • Handle complaints with concern and diplomacy.
    • Communicate medical/surgical information accurately.
    • Send client cards and letters as directed.
    • Prepare and distribute client education materials.
  • Answer Telephones and Make Appointments
    • Display a “come‑in‑now” attitude.
    • Answer calls promptly and use excellent telephone etiquette.
    • Encourage appointment scheduling for any concerning problems.
    • Schedule and reschedule appointments for all patient visits.
    • Call to confirm appointments, remind of missed visits, and provide results or callbacks.
    • Refuse to diagnose pet health problems over the phone.
  • Maintain Charts and Computer Records
    • Keep charts and records current (address, phone, vaccine dates, reminders).
    • Prepare charts for new clients and patients, including all necessary forms and authorizations.
    • Handwriting must be neat and legible.
    • Open orders or invoices for each client entry and recommend services.
    • Calculate invoices, collect payment, and file charts appropriately.
    • Perform routine computer reports and backups.
  • Pharmacy and Retail Sales
    • Understand and promote retail products (dietary, flea products, shampoos).
    • Fill prescriptions and dispense medications as directed by a veterinarian.
    • Explain prescription directions to clients.
  • Marketing Implementation
    • Understand, participate in, and support VCA marketing events and programs.
    • Present marketing promotions to clients professionally.
  • Housekeeping and Maintenance
    • Keep front desk, reception, waiting areas, and exam rooms neat and clean at all times.
    • Check exterior for waste and clean as needed; tidy glass doors and windows.
  • Maintain a stocked, operational client refreshment area.
  • Personally maintain appearance, wear a clean uniform and nametag.
  • Keep educational materials current and orderly; water office plants.
  • Financial Responsibilities
