Job Summary
Reporting to the Site Manager, Site Characterization, the Facility Support Representative is a key member of the team that provides a variety of administrative and clerical services to the NWMO Site Characterization team including but not limited to: shipping and inventory duties, operation and maintenance of office and warehouse equipment, records management and document control support functions, and other duties as required.
Responsibilities- Working in accordance with prescribed safety procedures and regulations
- Perform administrative service support
Clerical:
- Perform routine clerical tasks such as mail and courier as required, on daily basis
- Warehouse sample inventory including tracking, organizing and storing samples to ensure accuracy and availability
- Creating, processing and filing care and custody forms and records
- Arrange for and perform printing of material, courier packaging and handling as necessary
- Maintain stationery, office and kitchen supplies, facility and site supplies ensuring sufficient inventory levels are maintained
- Maintain task book and documentation related to all aspects of the job
- Operate and support the maintenance of a variety of office equipment such as printers, scanners, and photocopiers. Carry out equipment inspections, and make minor adjustments, including changing toner, print cartridges, paper supplies, etc.
- Inspect deliveries for damage and completeness compared against shipping manifest. Following up on discrepancies with NWMO shipment requester and shipping / courier company
Reception:
- Greeting and directing visitors, serving as the first point of contact for guests
Records/Document and Warehouse Support:
- Perform records management and document control support functions such as scanning, sorting, filing, labeling, retrieval, etc. for various phases of Site Characterization document life cycle management
- Maintain, sort and keep sample facility and equipment in the facility stocked and in good order
- Process, distribute and track documentation. Verify details and compile statistics, ensuring deadlines are met, following up, as necessary
- Work with a variety of commercial software applications (including MS Office suite) to produce correspondence, reports, presentation material, standard forms, numerical data, and other documentation as required
- Inspect and operate forklift and other material handling devices in support of warehousing and shipping and receiving tasks
- Purchase supplies and deliver to work site as required
Other:
- Assist Facilities and IT with the onboarding/offboarding of employees and contractors: planning for system access, badges, name plates, business cards request, pass card forms, access codes request etc.
- Escalate any IT issues
- Report any deficiencies to Facilities or IT Help Desk and support resolution
- Assist Facilities with building maintenance/ management or vendor requests as directed by manager
- Accountable for the health, safety and well-being of self and others, as per established procedures and standards
- Other duties as required
The ideal candidate will have the following skills and experience.
- Grade 11 or by having the equivalent level of education
- Demonstrated office support/administration experience
- Experience in technical warehousing environment or scientific environment is beneficial
- Strong working knowledge and experience with MS Office (Outlook, Word, Excel, Publisher, PowerPoint)
- Outstanding communication and interpersonal skills
- Strong sense of urgency, ownership and demonstrated ability to manage competing priorities and tight deadlines
- Organized, resourceful and is an effective problem solver
- A quick learner with ability to work independently
- Committed and collaborative team player and flexible to daily demands
- Outstanding attention to detail
- Energetic, hard-working and self-motivated
- Highly professional
- Must have a Class G driver’s license or equivalent
Must be eligible to work in Canada and must be able to meet security clearance requirements
