About the Role

The Office Administrator is a role requiring excellent organisational skills, a warm and empathetic approach, and the ability to multitask in a vibrant school setting. You will manage the reception area, support the teaching staff with daily administrative tasks, maintain accurate pupil records and handle communications with parents, local authorities and visitors.

Key Responsibilities

Front of House and Reception
  • Warmly greet and sign in all visitors, students and parents, ensuring strict safeguarding and visitor check-in procedures are followed.
  • Manage the school phone line, responding to inquiries or directing calls to the appropriate team members efficiently.
  • Act as the first point of contact for parents and local authorities regarding daily attendance, student welfare or general scheduling.
Pupil Administration and Attendance Tracking
  • Maintain and update student database systems, ensuring accurate records of attendance, contact details and student timetables.
  • Monitor daily attendance, follow up on unexplained student absences immediately and flag persistent attendance concerns to the safeguarding lead.
  • Assist with the administrative tasks surrounding the admissions process and pupil transitions.
General Operations and School Admin
  • Handle incoming and outgoing mail, email correspondence and distribute resources to staff.
  • Oversee the ordering, inventory and distribution of school stationery, teaching materials and kitchen/office supplies.
  • Support the senior leadership team with typing letters, arranging meetings, printing resources and organising school events.
  • Assist in keeping files, school policy documentation and compliance folders organised and inspection-ready (Ofsted compliance).

Criteria

Qualification and Experience
  • Proven experience working in an administrative role, preferably within a school, alternative provision, or SEN setting.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and experience using school management information systems (MIS) is highly desirable.
  • Minimum of GCSE English and Mathematics (or equivalent).
