Job SummaryThis position serves as the first point of contact for clients, agents, vendors, and visitors and is responsible for creating a professional, welcoming, and organized front-office environment. This position provides administrative and operational support to agents, staff, and management and assists with the day-to-day functions of the office.
- Greet and assist clients, agents, vendors, and visitors in a friendly and professional manner.
- Answer incoming telephone calls, provide general assistance, and route calls and messages to the appropriate party.
- Receive and appropriately route earnest money payments, contracts, checks, keys, transaction documents, and other materials in accordance with company policy.
- Receive, sort, and distribute mail, packages, deliveries, and agent correspondence; maintain agent mailboxes and the office will-call area.
- Maintain and track office sign inventory, including signs, riders, directional signs, stakes, and related materials.
- Monitor and maintain general office supplies, copiers, printers, keys, lockboxes, and other common office resources.
- Assist agents and staff with general administrative needs, including copying, scanning, printing, and document preparation.
- Coordinate and prepare conference, meeting, training, and closing rooms and assist with office announcements, schedules, and company-wide communications.
- Maintain the reception area, lobby, mailroom, copy areas, conference rooms, and other shared spaces in a clean, professional, and organized manner.
- Provide general administrative support to management, staff, and agents while maintaining confidentiality regarding clients, transactions, commissions, and other sensitive company information.
- Perform other duties as assigned.
- High school diploma or equivalent required; additional education or relevant professional experience preferred.
- Previous experience in a receptionist, administrative support, customer service, or professional office environment preferred.
- Experience in a real estate or other transaction-oriented office environment is a plus.
- Professional, friendly, and service-oriented demeanor.
- Strong interpersonal, written, and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage frequent interruptions in a busy office environment.
- Sound judgment, critical-thinking, and problem-solving skills.
- Dependable, self-motivated, and willing to take initiative with routine office needs.
- Proficiency with standard office technology and equipment.
