Job Description & How to Apply Below

A private Family Office is seeking an exceptional Traveling Personal Assistant to provide highly personalized, discreet support to a Principal with an active and frequently changing travel schedule. Approximately 70% of this position will involve domestic and international travel, making this an ideal opportunity for a polished, adaptable professional who thrives in a fast-paced and dynamic environment. The ideal candidate understands the nuances of supporting a high-profile Principal and knows instinctively when to take initiative, when to anticipate a need, and when to remain seamlessly in the background.

This individual must be comfortable operating within an established Family Office structure, respecting the chain of command and following established protocols and processes across multiple departments.

Success in this role requires exceptional judgment, discretion, integrity, organization, and communication skills, along with the ability to remain calm and resourceful when schedules, travel plans, or priorities change with little notice.

The Traveling Personal Assistant will work quietly and efficiently behind the scenes to ensure the Principal’s day-to-day needs, travel, logistics, personal preferences, and evolving priorities are handled with exceptional attention to detail. The right candidate will be proactive without being intrusive, highly service-oriented, and capable of anticipating needs before they arise.

Candidates should be comfortable with extensive travel, irregular schedules, changing time zones, and the flexibility required when supporting a Principal at this level. The Family Office is seeking someone who approaches the role with professionalism, humility, discretion, and a genuine commitment to providing seamless, world-class support.

Duties to include, but not limited to:
  • Work directly under and support the day-to-day operations of the Principal and the CEO
  • Collaborate with the travel team to ensure flawless execution of the Principal’s travel arrangements
  • Conduct advance preparation, including hotel room setup, local logistics, and preference checks
  • Provide on-the-ground support during trips- handling errands and attending to needs as they arise
  • Remain ready for last-minute travel decisions
  • Manage the Principals’ personal schedule; identify and proactively resolve conflicts
  • Execute restaurant reservations, personal errands, and ad-hoc requests
  • Conduct targeted research; deliver concise, relevant briefs and recommendations
  • Maintain close communication with the Principal’s support team (CEO, C-Suite executives, security, travel, and household staff)
  • Work behind the scenes to triage and resolve urgent matters with minimal disruption to the Principals’ day
  • Coordinate events and special projects as Keep and maintain records and filing systems
  • Respond promptly to highly confidential inquiries
  • Provide practical assistance as needed (organizing projects, shopping, running general errands, accompanying the Principal to appointments)
This is a full-time position:

Travel up to 70% of the time, domestically and internationally, often on short notice and without assistance

Flexible schedule with after-hours on-call coverage to support the Principal’s needs, including evenings, weekends, and holidays.

Generous competitive pay, DOE
