Function:
The Human Resources (HR) Specialist supports RE’s human resources operations by executing core HR functions, including recruitment, onboarding, employee relations, compliance, and HRIS management. This position is a resource for employees and managers, ensuring HR policies and procedures are consistently applied and aligned with organizational goals. The HR Specialist collaborates across departments to foster a positive work environment, promote employee engagement, and support strategic HR initiatives.
- Support organizational duties by ensuring the safety and well-being of all Ramey-Estep/Re-group (RE) clients.
- Support the mission, vision, and values of RE. Facilitate and adhere to the agency’s code of ethics, policies, and procedures.
- Support all functions that attain and maintain accreditation and compliance with regulatory agencies.
- Facilitate positive interaction with clients and staff by exhibiting maturity, respect, confidentiality, teamwork, and sensitivity to cultural differences.
- Exhibit effective communication skills, including proper use of agency communication systems.
- Participate in professional development programs to attain and maintain competency.
- Effectively manage financial and physical resources to achieve the mission of RE.
- Report incidents of abuse or potential abuse involving clients to the appropriate authorities and RE.
- Assist as part of the HR Team in the setup of special events and staff meetings.
- Collaborate with community organizations to offer the use of training facilities and act as a liaison to determine needs.
- Maintain excellent customer service with all employees and vendors.
- Schedule interviews with job candidates at the HR Manager's or CHRO's direction and provide updates as appropriate to stakeholders.
- Complete the new hire background process under the direction of the HR Manager and/or CHRO.
- Complete monthly updates of various background checks for all expiring staff.
- Maintain employee driver’s licenses and ensure expirations are updated in a timely manner.
- Complete the E-Verify process for new hires within 48 hours of start date and file verification and I-9 forms; alert the CHRO if a hire is not authorized to work or if there is an authorization issue.
- Manage RE’s travel credit cards and ensure documentation is entered in the payables system within 48 hours of receipt; alert the CHRO of any issues.
- Track completion of 90-day performance evaluations, send reminders to supervisors, and ensure timely completion; alert the CHRO if late.
- Process payroll change notices, obtain signatures, and enter information into HRIS promptly.
- Update employee information in the HRIS (phone, address, dependents, etc.).
- Solicit and compile nominations for Employee of the Month (EOM) and collect Leadership Team votes; ensure timely presentation of the award.
- Maintain HR tracking spreadsheets, including monthly reports and hires/fires records.
- Complete all steps of the termination process, including IT account deactivation and benefits termination, and close the personnel file.
- Assist with new hire orientation and serve as backup facilitator for orientation.
- Receive, handle, and file confidential information about employees; uphold confidentiality.
- Respond to employees’ questions about HR functions and provide correct resources.
- Perform regular clerical duties such as filing to keep personnel files up to date (at least weekly).
- Maintain a high-visibility, approachable image to support positive employee relations.
- Perform other duties as assigned.
- Shift is generally dayshift, Monday – Friday; may work from all facility locations as needed.
- Holidays, weekends, and extra hours may occasionally be required.
- Office setting with extensive computer usage; fast-paced environment requiring quick decision-making.
