Schedule: Monday-Friday, 7:00 a.m. to 3:30 p.m.
Duration: Temporary Assignment
This is a temporary assignment expected to last approximately 1-3 months based on business needs. Continued employment beyond the assignment period is not guaranteed.
Position SummaryThe Temporary HR Assistant provides administrative and operational support to the Human Resources function, with a primary focus on recruitment, pre-employment processing, onboarding, and new hire orientation. This role serves as a key point of contact throughout the hiring process, ensuring a positive candidate experience while maintaining compliance with company policies and regulatory requirements. The successful candidate must be highly organized, able to manage multiple competing priorities simultaneously, and comfortable working in a fast-paced environment where urgent requests and shifting priorities are common.
Essential Duties and Responsibilities Talent Acquisition & Recruitment Support- Review resumes and assist with candidate screening activities.
- Coordinate and schedule interviews with candidates and hiring managers.
- Create and manage interview invitations and related correspondence through Outlook.
- Communicate with candidates regarding interview schedules, hiring decisions, and next steps in the recruitment process.
- Conduct candidate follow-up activities and maintain timely communication throughout the hiring process.
- Assist hiring managers and Human Resources with interview activities as needed.
- Maintain recruitment records, applicant tracking systems, and recruitment trackers to ensure data accuracy.
- Prepare employment offer letters and supporting documentation for review and approval.
- Monitor candidate acceptance of employment offers and ensure timely completion of pre-employment requirements.
- Coordinate background screening and pre-employment verification processes.
- Track the status of background checks, employment documentation, and onboarding activities.
- Partner with internal stakeholders to coordinate equipment, system access, and other new hire requirements.
- Ensure compliance with employment eligibility verification and applicable regulatory requirements, including ITAR-related hiring restrictions.
- Initiate and monitor electronic onboarding activities to ensure completion prior to start date whenever possible.
- Communicate onboarding expectations and documentation requirements to new hires.
- Assist employees with onboarding systems and documentation completion as needed.
- Coordinate and facilitate new hire orientation activities.
- Schedule and track completion of required onboarding and compliance training.
- Notify appropriate departments of new hire start dates and onboarding requirements.
- Maintain accurate and confidential employee records in accordance with company policies and legal requirements.
- Organize, file, scan, and electronically archive HR documentation.
- Assist with employee file audits and document retention activities.
- Support audits related to employment eligibility, personnel files, and other HR records.
- Ensure HR documentation is accurately maintained across company systems and shared records repositories.
- Respond to routine HR inquiries and direct more complex matters to the appropriate HR team member.
- Provide administrative support for HR projects, initiatives, and departmental activities.
- Assist with data entry, reporting, and record maintenance.
- Perform miscellaneous HR-related duties and special projects as assigned.
- Support departmental needs during periods of high-volume recruiting, onboarding, and employee activity.
- High school diploma or equivalent required;
Associate's degree in Human Resources, Business Administration, or a related field preferred. - Previous administrative, recruiting, customer service, or HR experience preferred.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities, meet deadlines, and adapt to changing business needs.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office applications, particularly Outlook, Word, and Excel.
