Primary Duties and Responsibilities

The Associate Director for Event Management is responsible for the operational and strategic leadership of all Event Management teams housed within the Office of Strategic Venues and Event Services (OSVES) at Belmont University, and must be a reliable source of vision, leadership, and encouragement. This position is charged with overseeing personnel and opportunities that support the management and execution of internal, external, and brand-building high-influence events at the University.

Working from the vision and priorities set forth by the aspirational aim, the position will work closely with the Senior Director of Hospitality & Events Management to achieve operational goals for the division, some of which support revenue driven initiatives. As a key member of the OSVES team and under the leadership of the Senior Director of Hospitality & Events Management, this position will work collaboratively with all strategic University venues and broadly across campus to help accomplish key divisional goals.

  • Oversee Event Management team(s) - including strategic and relational leadership - to foster growth, address performance issues as needed, and encourage equitable scheduling inorder to ensure successful event execution in Strategic Venues and University spaces. Understand and respond to capacity constraints with a solutions-driven mindset. Collaborate with area supervisors to oversee performance management and hiring/termination of employees in partnership with the Senior Director.
  • Develop and maintain healthy, productive relationships with campus partners and external clients who desire to regularly facilitate events within OSVES venues and/or need OSVESservices. Develop and maintain healthy, productive relationships with campus partners who help facilitate events.
  • Collaborate with all area teams; manage shared services resource capacity and deployment across campus. Recommend event space improvements and upgrades asneeded to ensure the operational health of campus venues, and ensure preventative maintenance and inventory management by way of team oversight.
  • Ensure the verification and processing of vendor and client invoices by way of Event Management team oversight. Approve client estimates of significant amount or importance. Collaborate with the Financial Operations team to ensure successful fiscal management of Event Services budgets and resources pertaining to event management as needed.
  • Advance events from an event management perspective as needed. Provide insight toOSVES partners and clients regarding the feasibility of event requests from an event management and safety perspective.
  • Ensure proper management of student worker and part-time teams serving in event management related roles. Develop innovative student development and partnership opportunities to support the development and maintenance of an educational and staffing pipeline for OSVES. Foster strategic partnerships with student leadership incubators, Belmont colleges, and external partner vendors to assist in the development of student worker opportunities.
  • Develop and implement standard operating procedures and associated training toenhance Event Management operations and equip personnel.
