What will the Sales Coordinator do?
We are seeking a highly organized and detail-oriented Sales Coordinator to manage the administrative and operational workflow of our commercial tractor-trailer dealership. The Sales Coordinator serves as the central hub of our sales department, seamlessly connecting our sales staff, heavy-duty truck/trailer inventory, finance team, and customers. You will be responsible for preparing complex sales agreements, ensuring industry-specific tax and regulatory compliance, and coordinating the logistics of vehicle deliveries as well as various office administration tasks.
The ideal candidate thrives in a fast-paced environment, possesses an understanding of the commercial transportation industry, and is obsessed with accurate record-keeping.
What is the Sales Coordinator responsible for:Generate and execute all sales and consignment agreements accurately and in compliance with company policies.
Coordinate financial documentation and act as a liaison between sales representatives, customers, and corporate accounting or external flooring lenders.
Submit warranty registrations and factory-sponsored incentive programs immediately upon vehicle delivery.
Provide support for walk-in traffic and answer incoming customer inquiries regarding vehicle availability and transaction status.
Stock-in incoming new and used tractor-trailers, assigning stock numbers and verifying that factory specs and invoicing match physical arrivals.
Tax, Licensing & Compliance :Calculate and apply Federal Excise Tax (FET) exemptions and requirements correctly to every qualified commercial transaction.
Identify and process multi-state sales tax regulations, ensuring all supporting state and local documentation is collected.
Facilitate commercial vehicle title transfers, registration services, and licensing in compliance with state DOT requirements.
Acquire or maintain a registered Public Notary license to validate legal closing documents.
Office Administration :Process Credit Card payments and deposit checks
Process incoming mail and route to correct channels
Track company credit card purchases
Create and track Fed Ex and LTL shipments
Order office supplies
