Overview
Provides management, direction, and leadership to ensure the property is maintained and operated in accordance with KWPM objectives. Property Managers are certified and licensed by the State of Florida for Community Property Manager (CAM).
Responsibilities- Act as the key employee liaison between the client, KW Property Management, and internal support staff, projecting a professional and competent image; deliver service to the customer in a friendly and outgoing manner while maintaining timeliness and professional appearance.
- Work closely with the Association Board of Directors and/or the Developer to manage and operate the community, facilitate solutions to problems within the community. Demonstrate strong management, customer service, and supervisory skills.
- On assigned properties, serve as the company’s primary coordinator to ensure all efforts meet and exceed contractual property management obligations.
- Prepare annual budget for the association.
- Analyze and distribute monthly financial statements, including operating variances from budget, cash management, and strategies for collection of receivables.
- Maintain complete and accurate property files and records; coordinate with headquarters support staff on management company procedures and provide prompt, detailed status reports on all properties.
- Supervise on-site staff; develop specifications, evaluate service needs and performance, and ensure adherence to safety standards; motivate staff to work as a team.
- Establish collaborative relationships between departments and with other project team members; prepare for and chair team meetings when appropriate.
- Acquire and maintain knowledge of state statutes and client community documents, policies, and procedures.
- Coordinate move-in processes for new resident representatives; provide staff introduction and orientation, review available services and building rules.
- Set and uphold high standards of performance and follow up to ensure service delivery.
- Respond to phone calls and correspondence in a timely and professional manner.
- Maintain professional relationships with the Board of Directors, Unit Owners, and vendors.
- Ability to run a Board of Directors meeting when necessary according to Roberts Rules of Order.
- Create management reports detailing updates on administrative items, financial overview, property condition, project progress, and recommendations.
- Prepare professional presentations of reports, action plans, budgets, and bid analyses.
- Support KWPM’s GREAT values, philosophy, goals, and policies.
- Organize time effectively to balance multiple projects; attend monthly Manager’s meetings.
- Maintain and upload documents into management support systems accurately and updated.
- Monitor contracts regularly; evaluate and negotiate contracts; ensure vendors provide a certificate of insurance naming the Association and KW Property Management as additional insured and certificate holder; obtain copies of business licenses from vendors; update documents accordingly.
- Maintain accurate records, files, and communication pertinent to the Association office; organize files and policies per company standards.
- Update Association communications regularly – update menu boards, prepare the Association newsletter, and update the Association website.
- Process violations, work orders, architectural control applications, lease applications, and sale applications as required.
- Manage cash balances and funds availability for projects; oversee cash flow for capital improvements.
- Monitor aging reports, timely legal actions, and the collection module; keep records updated.
- Maintain equipment maintenance logs and inventory; update preventive maintenance manuals quarterly.
- Strong working knowledge of customer service principles and practices.
- Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents of similar complexity.
- Proficiency with Microsoft Office applications.
- Florida CAM license required.
- Valid Florida Driver’s license required.
- Flexible hours including nights and weekends as needed.
- Ability to respond to emergencies promptly.
- Some locations require bilingual English and Spanish.
This job operates in a professional office environment. Routine use of standard office equipment applies. Physically, employee must be able to talk, hear, stand, walk, and use hands; includes walking properties daily and climbing stairs.
Position Details- Full-time exempt position. Days and hours are Monday through Friday; business hours determined by client needs.
- Some travel may be required to attend training and/or meetings, locally.
