Detention Records Assistant – Florida Keys Sheriff, Key West Detention Center
Base pay range
: $48,910.00/yr
Shift
: 8 hours per day, no holidays

- Files a variety of reports, forms, and records
- Fills out forms, logs reports, and performs copying as necessary
- Prepares paperwork from arrest folders
- Updates mug‑shot books and other records
- Classifies reports for Uniform Crime Reporting to ensure proper coding
- Enters and retrieves data from the Criminal Justice Information System (CJIS) and the Florida and National Information Systems (FCIC)
- Cross‑references subjects concerning warrants and extradition data
- Processes warrants, incident and accident reports and expunges criminal arrest data as necessary; checks forms, records, and reports to ensure information is correct and complete
- Maintains file card references
- Ensures inmates attend first appearance in a timely manner
- Ensures inmates entering the facility have regulation uniforms
- Maintains archive files
- Deposits inmates’ monies
- Stores, inventories, receives, and releases inmate property
- Manages the Property/Mail Room Log
- Coordinates the receiving or releasing of inmate property
- Assists in the processing and distribution of inmate uniforms and supplies
- Ensures that inmate property and money are securely stored
- Coordinates visitations between inmates and visitors
- Answers telephone and provides other clerical support as directed
- Assists in training other Records Assistants and monitors data entries for completeness and accuracy as required
- Performs related work as required
- High school diploma or equivalent
- Sufficient office experience with record keeping and data entry, including operation of data entry devices, keyboards, duplicating machines, etc.
- Experience with data terminals and operating standard office equipment (typing speed of at least 25 wpm)
- Ability to read, follow instructions, and alphabetize codes numerically, rank, sort and batch
- Knowledge of office practices, procedures, and correct English usage
- Knowledge of filing and basic record keeping
- Required to obtain the Florida Department of Law Enforcement (FDLE) National Criminal Information Center / Florida Criminal Information Center (NCIC/FCIC) certification
- Ability to locate, collect, or derive information before acting; work independently under general direction of Records Director or Supervisor
- Ability to lift up to 50 pounds and operate keyboard devices or visual display terminals for long periods
- Awareness of hazards related to airborne and blood‑borne diseases and other environmental exposures common to detention facilities
