Medical Office Assistant - Adult Medicine (Kihei)

Overall Purpose of the PositionThe Medical Office Assistant (MOA) supports the office by coordinating and organizing various duties such as appointments, referrals, preparing forms, updating patient information, completing forms, and answering phones.
MajorJob Responsibilities
- Answers all incoming phone calls, transfers calls as needed, takes prescription messages, identifies and verifies information needed to schedule appointment requests, and assists with follow‑up appointments or referrals (40%).
- Assists in preparing patient information for appointments (labs, hospital reports, referral notes), maintains electronic medical record (EMR), scans documents, and completes all office forms and documents (40%).
- Calls insurance companies or uses resources to verify insurance, informs patients of copayments, deposits, and required referrals/authorizations at the time of appointment (20%).
- Updates physician templates to include opening, closing, and rescheduling of patient appointments (5%).
- Provides excellent patient and family experience, takes initiative in problem solving, maintains confidentiality, and interacts courteously (5%).
- Performs all other miscellaneous responsibilities and duties as assigned (5%).
- Demonstrates quality work, completes assignments on time, and makes decisions within limits of authority (2.5%).
- Maintains time and attendance standards consistent with company policy (2.5%).
High school diploma or equivalent required. One year of medical or receptionist experience preferred. Demonstrated experience with basic office equipment and personal computer highly desirable.
Skills & KnowledgeMust manage multiple tasks simultaneously, strong telephone skills, positive “can‑do” attitude, and ability to work overtime as needed.
Desired/Preferred QualificationsOne year of experience in a medical office or healthcare administration, knowledge of medical terminology.
Equipment UsePersonal computer, multi‑line telephone, fax machine, and copies.
CharacteristicsWilling to effectively participate as a team member with Nursing and Front Desk.
Environmental FactorsRequires sitting and hand use for key‑punching (60%), walking, bending, stooping, stretching for files and supplies (30%). Requires manual dexterity for keyboard and office equipment. Vision must be correctable to 20/20 and hearing normal for telephone use. Able to lift up to 25 lbs.
Hourly RateStarting at $19.07; based on experience.
