The Dispatcher is responsible for coordinating daily service operations and supporting field technicians to ensure timely, efficient, and high-quality service delivery. This position focuses on scheduling, customer communication, work order management, and administrative coordination. The Dispatcher plays a key role in maintaining customer satisfaction, operational efficiency, and adherence to company service standards.
Service Dispatch Responsibilities- Customer Service – Serve as the first point of contact for assigned customers. Respond promptly to inquiries via phone or email, address concerns or complaints, and ensure issues are resolved to maintain a high level of customer satisfaction.
- Dispatch Coordination – Organize and monitor technician schedules, input service orders, and assign calls to the appropriate technicians based on skill set, availability, and location. Maintain communication with technicians throughout the service process to ensure timely updates and completion of work.
- Service Channel Management – Maintain invoicing accuracy and completion status for customer portals such as Service Channel, ensuring compliance with customer requirements for accounts such as Kwik Trip and Love’s.
- Maintain compliance with company policies, procedures, and safety regulations.
- Support management in process improvement initiatives related to dispatching, service efficiency, and customer satisfaction.
- Assist in administrative tasks and reporting as needed.
- Perform other duties as assigned.
Required Qualifications
- Strong organizational and multitasking skills with the ability to manage multiple priorities.
- Effective written and verbal communication skills.
- Demonstrated customer service experience in a technical or service-related industry.
- Proficiency with scheduling, dispatch, and service management software.
- Ability to work independently and collaboratively within a team environment.
- Valid driver’s license and ability to meet company driver policy requirements.
- Previous experience in service dispatch or field service coordination.
- Previous Petroleum experience preferred.
- Familiarity with Service Channel or similar work order management systems.
This position operates primarily in an office environment with regular communication with field technicians and customers.
