To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

9.5 hours per week working Wednesday and Thursday afternoons between 12.30pm-6.30pm

Interviews will take place on either Thursday 29th January or Monday 2nd February.

Main duties of the job

Duties and responsibilities will include, but not be limited to:

  • Being the initial point of contact for patients contacting the Practice, whether on the telephone, face to face or via online methods
  • Relaying messages to patients via a range of methods
  • Updating rotas and clinics on the clinical system
  • Franking outgoing post
  • Supporting the administrative responsibilities around vaccination campaigns
  • Scanning clinical letters and attaching them to the correct patient records
  • Processing new patient registrations
  • Booking appointments for a range of appointment types
  • Dealing with general enquires
  • Signposting patients to relevant services
  • Supporting patient recalls and appointments: blood tests and chronic disease clinics
  • Transfer and processing of medical records
  • Other relevant duties identified by the Management and partners
About us

We are a small friendly GP Practice with around 5300 patients. Our clinical team includes 3 GP Partners, an Advanced Nurse Practitioner and a team of Nurses and Health Care Assistants. We teach Medical Students and a training Practice for GP Registrars.

Job responsibilities

In addition to the main responsibilities, the Administrator may be requested to:

  • Action incoming emails and correspondence as necessary
  • Scan patient related documentation and attach scanned documents to patients healthcare records
  • Complete opening and closing procedures in accordance with the duty rota
  • Display promotional material on the allocated noticed boards and in the waiting room
Person Specification Qualifications
  • GCSE grade A to C in English and Maths
Experience
  • Excellent interpersonal and communication skills An understanding, acceptance and adherence to the need for strict confidentiality Smart, polite and confident Ability to use own judgement , resourcefulness and common sense Ability to work without direct supervision and determine own workload priority Ability to work as part of an integrated multi-skilled team Pleasant and articulate Able to work under pressure Able to work in a changing environment Able to use own initiative Experience of Microsoft office software
  • Experience of working in a GP Practice Experience of using Systmone
