ESSENTIAL JOB FUNCTIONS

Definition: Conducts a variety of routine clerical, secretarial and administrative duties for a department.

SPECIFIC DUTIES AND RESPONSIBILITIES

Essential Functions:

  • Perform a wide variety of duties for a department
  • Answer telephone calls and receive visitors, screen, and refer to appropriate person
  • Provide routine information regarding department’s policies and procedures and on various programs
  • Interpret City policies, rules, and regulations in response to inquiries and refer inquiries as appropriate
  • Type forms, memos and routine documents from written sources according to specific instructions
  • Review documents, as instructed, to determine that appropriate forms are used and completely filed
  • Make travel arrangements
  • Maintain appointment schedule and calendars
  • Arrange meetings and conferences
  • Operate office equipment
  • Type a variety of materials including general correspondence and memoranda
  • Prepares and maintains payroll and attendance records
  • Maintain a variety of files and records including summary overtime reports
  • Count and inventory office supplies and forms
  • Assists with research and compiling of data for various reports and special projects including annual budget
  • Performs other duties as assigned
MINIMUM EDUCATION AND TRAINING
  • Two (2) years of administrative or clerical experience
KNOWLEDGE,

SKILLS AND ABILITIES
  • Knowledge of modern office methods, procedures, and equipment
  • Advanced proficiency in MS Excel, Word and Power Point
  • Knowledge of English usage, spelling, grammar and punctuation
  • Knowledge of business letter writing
  • Ability to communicate clearly and concisely, orally and in writing
  • Ability to work cooperatively with others
  • Ability to interpret and apply administrative and departmental policies, laws, and rules
  • Ability to plan, organize and schedule priorities in the office
  • Must be punctual and organized to meet deadlines
  • Ability to maintain confidential information
PREFERENCE

Bilingual in English/Spanish;
Acceptable Equivalency:
Any combination of experience and training that would likely provide the required knowledge, skills and abilities.

WORK ENVIRONMENT
  • May be required to work hours other than the regular schedule including nights, weekends, and holidays.
  • This position requires regular and reliable attendance and the employee s physical presence at the workplace
