Overview

An exciting and challenging opportunity to join the Safeguarding Adults Team at Mersey and West Lancashire Teaching Hospitals NHS Trust, working at the Whiston Hospital site. The post holder will provide a comprehensive, professional and effective administrative service to the team, including processing Deprivation of Liberty Safeguards (DoLS) applications. The role involves taking minutes at meetings, ensuring effective data collection, and maintaining confidentiality with a calm and friendly manner when dealing with enquiries and external organisations.

The role is exposed to safeguarding concerns relating to adults and children and will require emotional resilience. The post holder will support the Trust and the Safeguarding Team to meet statutory safeguarding responsibilities.

Responsibilities
  • Support the Trust and the Safeguarding Team to meet statutory safeguarding responsibilities, including processing DoLS authorisations and daily communication with the Local Authority.
  • Assist with preparation for external meetings such as MARAC and provide data for internal and external reporting.
  • Provide comprehensive confidential administrative support to the Assistant Director of Nursing Safeguarding and the Safeguarding Adults Team.
  • Establish contacts with external bodies, clinical, nursing, management, executive and clerical staff; cross-cover for safeguarding adults and safeguarding children administrative support as required.
  • Provide administrative support for incoming internal and external communications via email, telephone and post; receive and share complex and highly sensitive communications and escalate as appropriate.
  • Disseminate safeguarding information to relevant staff outside the safeguarding team as directed by the Named Nurse/Named Midwife.
  • Maintain up-to-date knowledge of relevant systems and processes; attend appropriate training sessions.
  • Provide secretarial support including room bookings, diary management, and preparing training resources; order stationery for the team.
  • Maintain accurate safeguarding patient-centred databases; update patient clinical records with safeguarding alerts and upload safeguarding reports; create new patient records as needed on instruction of Safeguarding Leads.
  • Assist in the production and formatting of policies and protocols relevant to the service; monitor effectiveness by providing relevant data during reviews.
  • Prepare emails and general communications; attend team meetings and contribute to improvements in administrative processes; support staff in understanding safeguarding administrative processes and Microsoft software.
  • Prepare and distribute meeting agendas and papers, take detailed minutes, issue action reminders, and update action plans as directed.
  • Provide information for reports and quarterly/annual returns for Local Safeguarding Boards, Safeguarding Partnerships and the Clinical Commissioning Group.
  • Maintain administration of the service, including activity, operational and training databases to ensure data is easily retrievable; check data accuracy and share information with relevant departments as required.
  • Support audit and survey material delivery and maintain relevant parts of the Trust Safeguarding intranet page.
Requirements
  • Experience providing administrative support in a safeguarding or healthcare environment is desirable.
  • Ability to handle sensitive information with confidentiality and demonstrate emotional resilience when dealing with safeguarding concerns.
  • Strong organisational and communication skills; proficient in Microsoft software and data management.
  • Flexibility to cover cross-team requirements and a willingness to engage in training and development.
