We are seeking a highly motivated and customer‑obsessed Executive Assistant to support the Director of Finance for a significant project. This role is crucial and requires a strong focus on execution. The assistant will manage a high volume of tasks such as complex calendar management, scheduling, prioritizing amidst numerous requests, ensuring urgency where necessary, handling travel, expenses, and other administrative support functions, managing documentation and follow‑up, and preparing for the executive’s needs to ensure timely action on deliverables.
Responsibilities- Manage complex calendar and scheduling tasks, ensuring effective prioritization.
- Monitor and track VP meetings, priorities, and emails, acting as a proxy when needed.
- Handle travel and expense management.
- Provide comprehensive administrative support to the office.
- Manage multiple tasks and action items with documentation and follow‑up.
- Ensure appropriate and timely action on deliverables.
- Possess the ability to complete a high volume of tasks with minimal guidance.
- Demonstrate impeccable attention to detail.
- Make smart and timely decisions with appropriate urgency.
- Possess strong communication skills, both verbal and written.
- Exhibit high levels of integrity and discretion in handling confidential information.
- Have a high degree of professionalism in dealing with professionals.
Skills & Qualifications
- Previous experience supporting management such as VPs or CEOs.
- Excellent PC skills, including proficiency in Microsoft Office and Outlook.
- At least two years of college required, with a bachelor's degree preferred.
