This on‑site position is located on the Kirkland main campus in the HR department. The HR Front Desk Coordinator serves as the first point of contact for employees, applicants, and visitors, delivering a positive and professional customer experience and ensuring that all interactions reflect the organization’s values of respect, responsiveness, and service excellence. The role facilitates smooth communication between HR and internal and external stakeholders, maintains the integrity of HR operations, and enhances employee satisfaction through direct, personalized service.

Job Summary

The HR Front Desk Coordinator provides essential technical, administrative, and customer service support to the Human Resources team. Responsibilities include managing front desk activities such as answering phones, greeting staff and visitors, and supporting a wide range of HR functions including recruitment, benefits, compensation, leave of absence, employee relations, and HRIS.

Responsibilities
  • Provide general HR customer service to employees, applicants, and the public—both in‑person and by telephone.
  • Screen and direct phone calls, take and relay messages, and answer questions regarding employment, benefits, and other HR‑related topics.
  • Respond to email inquiries about human resources matters, rules, and regulations.
  • Process employment verification requests and other information requests.
  • Issue and maintain s, proxy cards, ORCA Business Passport cards, GEMPAY access, and HR employee business cards; coordinate with Security and Volunteer Services as needed.
  • Support new‑hire orientation through administrative tasks and onboarding paperwork.
  • Serve as a backup for the Recruiting Specialist.
  • Receive, process, and maintain employee credentials, licenses, and degrees in HRIS; notify Compensation team of updates requiring ePAR entry.
  • Support HR data management, including data collection, entry, tracking, calculation, and reporting; compile and distribute reports as requested.
  • Update supervisor changes and other employee data in People Soft (HRIS).
  • Serve as primary contact for receipt of Benefits, Leave of Absence, Worker’s Compensation, and Reasonable Accommodation documentation.
  • Coordinate ordering, stocking, and distribution of office supplies and HR materials (e.g., benefit packets, new‑hire portfolios).
  • Assist with development and maintenance of employee discount programs.
  • Perform other duties as assigned.
Qualifications Required:
  • Bachelor’s degree in Human Resources, Business, or a related field; or equivalent combination of education and experience.
  • At least 2 years of Human Resources experience (preferably including recruitment).
  • At least 1 year of administrative or office support experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and HRIS/Applicant Tracking Systems.
  • Strong interpersonal, customer service, written, and verbal communication skills.
  • Ability to organize, plan, and prioritize multiple tasks with attention to detail.
  • Sensitivity to and knowledge of diverse ethnic, cultural, and socioeconomic groups.
