Who are we looking for?
We are seeking a Senior Payroll Administrator to serve as a key subject matter expert supporting end‑to‑end payroll operations for our Canadian workforce in Waterloo.
This role is critical to ensuring payroll accuracy, legislative compliance, operational efficiency, and continuous process improvement across a multi‑province employee population.

Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
End‑to‑End Payroll processing.Lead the import, validation, balancing, and transmission of bi‑weekly payroll for 2,000+ multi‑province employeesPerform gross‑to‑net calculations, reconciliations, and payroll audits to ensure complete accuracy and complianceAnalyze payroll and general ledger data, investigate variances, and support reconciliation processesProvide compliance and legislative expertiseCalculate overtime, statutory holiday pay, and other earnings in accordance with provincial employment standardsPrepare and submit statutory remittances and filingsProduce Records of Employment (ROEs) and support compliance audits as requiredSupport year‑end activities, including T4 preparation, reconciliations, and government reportingProvide Employee & Case Management supportProcess employee lifecycle transactions including new hires, terminations, leaves, status changes, and compensation updatesManage payroll inquiries and escalations, providing clear, timely, and professional responsesAdminister changes related to RRSP, TFSA, benefits, and bankingReview and validate HRIS integrations and inbound payroll filesSupport payroll process enhancements, documentation, and continuous improvement initiativesCollaborate with internal partners and external vendors to resolve system and data challenges
What you will bring to the team:
5+ years of experience in a multi‑jurisdictional Canadian payroll environment (required)Proven experience processing payrolls of over 1,000+ employees) (required)Canadian Payroll Association certification (PCP or CPM) or actively working toward completionDiploma in Business, Accounting or a related field (asset)Technical & Analytical SkillsAdvanced Microsoft Excel skills (analysis, reconciliations, reporting)Strong working knowledge of SAP payroll and/or ADP Global ViewSolid understanding of Canadian employment standards, statutory deductions, and HR policiesStrong analytical and problem‑solving capabilities and attention to detailConfident communicator with excellent written and verbal skills
