Summary
The Site Administrator is responsible for providing administrative support to the site team and ensuring the efficient daily operations of the property. This role involves coordinating resident communications, assisting with administration, managing property‑related documentation, and ensuring a high level of customer service for residents. The Site Administrator will support the Property Manager in maintaining smooth operations and enhancing resident satisfaction.
Salary: 47,000 per year
What you’ll get to do Resident RelationsServe as the first point of contact for residents, addressing inquiries, resolving issues, and providing qualified and courteous customer service. Handle resident complaints or requests and elevate to MRO when necessary.
Rent Collection DatabaseMaintain and update an accurate database for rent collection, ensuring all records are up to date and payment issues are addressed.
Work Order ManagementCoordinate and manage work orders for maintenance and repairs, ensuring that all requests are documented, assigned, and followed up on in a timely manner. Ensure proper communication between residents, site team, and vendors.
Contractor SchedulingSchedule and liaise with contractors for maintenance, repairs, and other necessary services. Ensure work is completed in a timely and satisfactory manner, and all relevant documentation is processed.
Property InspectionsAssist with property inspections, both routine and move‑in/move‑out. Document findings and communicate any necessary actions to management and site team.
Customer ServiceStrive to maintain a high level of customer satisfaction, working closely with residents and Operations to ensure the needs of residents are met and fostering a sense of community.
Team CommunicationProvide regular updates to the MRO on the status of operations, resident issues, and maintenance requests. Ensure clear communication with residents, contractors, and other stakeholders.
Other DutiesAssist with other operational tasks and projects as assigned, including special administrative or organizational initiatives.
Who you are- Diploma in Business Administration or related field
- 2‑5 years in property management or administrative role
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines effectively.
- Excellent written and verbal communication skills with a customer‑focused approach.
- Proficiency in property management software and Microsoft Office.
- Strong problem‑solving skills and ability to handle resident concerns with professionalism and efficiency.
- Ability to work independently, as well as part of a team, with a strong focus on achieving team goals.
