This position’s primary responsibility is to facilitate the new claim/safety event intake process, enter and maintain accurate claim data into the ORIGAMI claim management and OnBase imaging systems, and provide administrative/operational support for the Claim Department.
Essential Duties and Responsibilities- Accept and coordinate the new claim/safety event intake process including: receiving new claim/safety event information by phone or electronic transmission; confirming contractual responsibility for physician, group, and hospital; preparing the initial coding sheet (ICS) for Director’s (or AVP) review and approval; transmitting new claim/safety event information to Western Litigation, other authorized TPA’s, or commercial insurers; distributing claim correspondence to providers and defense counsel;
and providing administrative assistance (scanning, copying, faxing and filing) as needed for the Claim Department. - Assist the department with screening and coordinating subpoenas/depositions/trial appearances for affiliated clinicians.
- Provide administrative support to the department.
- Perform office functions that organize and direct the daily department workflow.
- Maintain confidential files.
- Manage all filing and records scanning via the OnBase system and organizational/administrative essentials for the Claim Department.
- Cross‑train and provide back‑up support for claim loss history requests, tail letter preparation, and monthly/quarterly management reports.
- Complete other projects and assignments as needed.
- Associate’s degree or Paralegal Certification preferred.
- Minimum three years of casualty claim operation or paralegal experience.
- Excellent organizational and time management skills.
- Excellent communication skills (verbal and written with emphasis on grammatical skills).
- Excellent interpersonal skills.
- Excellent computer and typing skills (intermediate skill level with Microsoft Office Suite – Word, Excel, PowerPoint, Outlook – required).
- Ability to maintain and handle confidential information.
- Ability to prioritize multiple tasks and deadlines.
- Ability to work in a team‑oriented environment.
- Ability to work independently with minimal supervision.
- Professional appearance and demeanor with ability to interact with corporate executives and division presidents.
