Job DescriptionThe Administrative Associate 2 performs a range of complex administrative and clerical duties in support of the UT Health Science Center College of Medicine‑Knoxville Center of Excellence for children in state custody, a program in the Department of Family Medicine.
Responsibilities- Provides a wide range of complex office administration and support for the program while serving as the principal contact and liaison with all university and external contacts to the program.
- Compiles records and assembles case review files, including complex social histories, and presents to the clinical team.
- Generates and maintains client charts and administrative files, coordinates daily staff meetings, schedules appointments, manages paperwork and files for appointments, and schedules program conference calls.
- Routes phone calls, shipping and receiving mail, and responds to e‑mails from both internal and external partners.
- Monitors budget, including tracking account expenditure, and assists with monthly reports.
- Maintains administrative database records in Access, including entry and upkeep of referred cases, generates reports, and responds to inquiries.
- Manages team travel and coordinates reservations and reimbursements.
- Maintains contact and liaison with other university departments and external agencies.
- Assists with the preparation of materials for state‑wide training events.
- Performs other related duties as assigned.
Education: High School Diploma or GED (Transcript Required).
Experience: Two (2) years of office experience; or Associate’s Degree in lieu of experience. Must pass background checks required by the Department of Children’s Services.
Knowledge, Skills, and Abilities- Excellent organization, verbal and written communication skills.
- Excellent computer skills, including proficiency with the Microsoft Office suite and use of database programs.
- Ability to work independently and easily adapt to frequently changing priorities.
- Ability to multitask and meet deadlines.
- Ability to communicate professionally and maintain a high degree of confidentiality.
This position may occasionally be required to work evenings.
