Summary
The primary function of the Trust Client Specialist (Real Estate) is to provide administrative support to an individual or small group of individuals, relieving them of clerical, administrative and business detail.
This Client Specialist will assist the Real Estate Officer in performing functions necessary for the administration of properties held in various types of managed and directed accounts, including Trust, Guardianship, Estate and Agency accounts.
This position also assists in the coordination of routine pre-acceptance functions and other tasks to satisfy audit, regulatory and compliance requirements.
The Client Specialist will serve as a liaison between the Real Estate Officer and the client and vendors.
Strong communication, attention to detail, ability to multi-task and prioritize, and organization are critical skills.
Responsibilities
Various aspects of account maintenance following Trust procedures, including but not limited to receiving and distributing real estate; setting up contact records; setting up disbursement, receipt and memo ticklers; account coding; creating and maintaining property files.
Use various systems to track appraisals, inspections, insurance payments and other bills, property tax payments, lease payments/renewals.
Processing various cash transactions using Trust systems, including but not limited to processing incoming checks, paying bills for clients, disbursements to clients, account-to-account transfers.
Preparation of various forms under the guidance of the Real Estate Officer.
Scanning and uploading various documents needed for compliance purposes and providing requested documentation for audits.
Direct client contact, serving as a liaison between the client and Real Estate Officer as well as vendors.
Being organized, meeting deadlines, and processing requests with accuracy.
Serving in a back-up role in the absence of the Real Estate Officer.
Ability to complete assigned tasks with limited oversight and supervision.
Performing general office duties and providing team/departmental support as needed.
Requirements
- High school diploma or GED and 3-5 years of experience in an administrative position
- Proficiency with MS Office Suite
- Excellent written and verbal communication skills
- Must be incredibly organized and detail-oriented
