Overview

KCDC is seeking an enthusiastic and experienced project specialist who shares our passion for public service. This is an exciting opportunity to join us on several major initiatives that will change the Knoxville landscape while helping to further KCDC’s mission to provide the highest quality affordable housing.

Under the supervision of the Chief Strategy Officer and the Chief Financial Officer, the Grants & Funding Specialist provides administrative, financial, compliance, and reporting support for KCDC’s portfolio of grants and other funding sources. The position coordinates post-award grant administration, maintains funding records, monitors funding requirements and deadlines, supports financial tracking and reconciliation, and assists with compliance and reporting throughout the funding lifecycle.

The position works with Strategy, Finance, program staff, and other departments to collect and maintain information needed for grant and funding administration, tracking, compliance, and reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Grants and Funding Administration
  • Establishes and maintains centralized records for grants and other awarded funding, including award documents, approved budgets, periods of performance, amendments, funding restrictions, reporting requirements, deliverables, and other applicable terms and conditions.
  • Maintains a comprehensive grants and funding tracker to monitor awards, funding sources, approved amounts, expenditures, reimbursements, receipts, remaining balances, deadlines, reporting requirements, and award status.
  • Assists with post-award setup and administration of new grants and funding awards, coordinating with Strategy, Finance, and other departments as appropriate.
  • Develops and maintains calendars and tracking systems for financial and programmatic reports, reimbursement requests, compliance requirements, deliverables, renewals, amendments, and closeout activities.
  • Coordinates collection of financial, programmatic, and supporting information required for funding reports, reimbursement requests, monitoring activities, and other submissions.
  • Assists with preparation and submission of required grant and funding reports and maintains documentation of completed submissions.
  • Supports award modifications, budget revisions, extensions, and closeout activities as required by the applicable funding source.
  • Maintains organized and complete funding records to support continuity, monitoring, reporting, and audit readiness.
  • Financial Monitoring and Tracking
  • Monitors financial activity associated with grants and other funding sources against approved budgets, funding restrictions, and applicable requirements.
  • Tracks expenditures, reimbursements, receipts, matching funds, cost share, leveraged funds, and remaining balances, as applicable.
  • Periodically reconciles grant and funding tracking
  • Other responsibilities, duties, and skills may be required and assigned, as needed.
To be effective in this role you will need:
  • Bachelor’s degree in Accounting, Business, Finance, Project Management, or a related field and at least 4 years of job related experience. An equivalent combination of education and experience requiring similar knowledge, skills, abilities, and performing duties as described may be substituted for the minimum requirements.
  • Proficiency in project tracking software ( e.g., Microsoft Planner ) or the ability to learn quickly.
  • Ability to create timelines and effectively manage schedules to meet deadlines
  • Strong verbal and written communication abilities.
  • Strong organizational and multitasking skills

* The candidate’s starting salary will be determined upon hire and KCDC will use salary survey data, internal comparators, and the candidate’s qualifications to determine salary.
