Specialist, IT Purchasing‑Inventory

Pay Rate: $37,720 – $46,170 per year. Pay will be determined based on related work experience above required.

Position Summary

This position provides technical‑clerical support for the entire Information Technology department and maintains records and inventory relevant to purchasing. It prepares purchase requisitions, initiates annual maintenance, and administers the extensive inventory of thousands of items across all campus locations.

Essential Functions
  • 50% Coordinate purchases with departments, monitor orders, track IT budget expenditures, and resolve maintenance contract issues with vendors.
  • 20% Maintain hardware and software inventory, assist with equipment surplus and donations to other institutions.
  • 10% Prepare and maintain IT departmental forms (leave balances, travel requests, petty cash vouchers) and related documentation.
  • 10% Manage all enterprise‑level software licenses; work with vendors to ensure contracts are current.
  • 10% Assist the Chief Information Officer with projects, travel arrangements, conferences, appointments, and any other duties as assigned.

Job Requirements

High school diploma or GED required; associate degree preferred.

Significant on‑the‑job training in institutional processes and procedures is required. Extensive use of specific information systems such as the online procurement system is a must.

Three years of job‑related experience required (part‑time work counts at 50%).

  • In‑depth knowledge of IT hardware and software with troubleshooting skills.
  • Detail‑oriented with strong time management to maintain accurate inventory records.
  • Analytical skills for forecasting needs and identifying trends.
  • Interpersonal communication and clear documentation abilities.
  • Knowledge of preventative maintenance for IT equipment.

Physical Demands

Office environment; frequent handling of large boxes of materials (printers, computers, software). Accommodation possible; significant communication with outside vendors and the business office via telephone.
