Position Overview

The Event and AV Coordinator supports the planning and delivery of internal and external events at assigned KANA locations. Primary responsibilities include audiovisual (AV) setup and operation, event coordination, and on-site logistical support. The role requires hands-on work, regular in-person presence, and flexibility to work evenings and weekends as needed.

Key Responsibilities

  • Maintains professionalism and integrity in all interactions, representing KANA positively with staff, clients, and the community.
Event Coordination & Support
  • Assists with planning, execution of setup, for events, meetings, and programs held at locations assigned.
  • Inputs event details, forms, and schedules into event software for tracking and communication.
  • Prepares and organizes event rooms, ensuring furniture, signage, and supplies are properly arranged and all areas remain clean and presentable.
  • Facilitates the organization of the event spaces, storage, kitchen, and other assigned areas; restocks supplies and maintains inventory.
  • Supports and executes event setup, ensuring seamless transitions between functions.
  • Collaborates with other departments regarding marketing and promotional efforts.
  • Attends or operates events requiring AV support and acts as the primary on-site contact for event hosts and participants.
  • Represents KANA at community and outreach events as needed to promote the Kodiak Marketplace.
Audio-Visual (AV) Support
  • Prepares, tests, and operates AV systems and equipment before, during, and after meetings and events.
  • Conducts AV preparation and facilitate meetings with clients and staff to review setup needs and troubleshoot technical challenges.
  • Supports technical upgrades, ensuring equipment is properly maintained and in good working order; coordinates with IT as needed.
  • Troubleshoots AV issues during events and provide real-time solutions to maintain event continuity.
  • Ensures all equipment is properly stored and secured after use.
Administrative Support
  • Creates and maintains event resumes for various meetings and programs.
  • Tracks AV usage, supplies, and maintenance needs; reports any repair or replacement requests to the Event Manager.
  • Assists with additional administrative duties as assigned.
Qualifications

High school diploma or equivalent and two years of relevant experience with the public. Associate's degree in business administration, marketing, hospitality, management, information technology, or related fields preferred. Knowledge of OBS and other AV software is highly preferred.
