Purpose of the Role :

We are looking for a Receptionist to handle reception and other administrative activities.

Role & Responsibilities :

- Greet and welcome visitors in a warm and friendly manner and direct them to the appropriate personnel or department.
- Ensure hospitality arrangements (tea/coffee/water) for visitors and meetings.
- Manage front desk operations and handle inquiries (in person, over the phone, or via email) professionally and promptly.
- Ensure reception area is always clean and presentable with all necessary stationery and material (e.g. pens, forms and brochures).
- Handling EPABX machine and transferring the calls to the concerned departments.
- Maintain visitor records and ensure security protocols are followed.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Update calendars, schedule and confirm appointments and meetings.
- Coordinate all incoming and outgoing courier services and shipments, maintaining accurate logs and records of all packages.
- Assisting to various departments in tracing documents/ material dispatch and receipt of the same by maintaining online courier record.
- Ensure an excellent client and visitor experience, from entry to exit.

Qualifications &

Experience:

- Well-groomed and professional appearance.
- Bachelors degree in Hotel Management from any recognized university.
- 3-6 years of relevant work experience as a receptionist, front office representative, or similar role in an office environment.
- Hands-on experience with EPABX systems and telephone operations is must.
- Proficiency in MS Office (Word, Excel, Outlook).
- Excellent verbal and written communication skills in English.
- Flexible and adaptable to different working conditions.
- Strong customer service and interpersonal skills.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.
