We are excited to announce an opening for a Project Administrative Assistant in Al Kuwait, specifically focused on supporting operations within the power industry. This role is essential in providing comprehensive administrative support for projects related to the Ministry of Electricity, Water, and Renewable Energy (MEWRE). As a Project Administrative Assistant, you will play a vital role in coordinating tasks and facilitating communication among various stakeholders, ensuring that projects run smoothly and efficiently.

Your organizational skills and ability to manage multiple responsibilities will be key to your success in this position.

Responsibilities
  • Coordinate project schedules by organizing meetings, managing calendars, and ensuring that all team members are aligned on deadlines and deliverables, which enhances overall project efficiency.
  • Assist in the preparation of project documentation, including reports, presentations, and proposals, utilizing software tools to ensure accuracy and professionalism in all materials produced.
  • Maintain and update project tracking systems, ensuring that all project milestones are recorded and communicated effectively to stakeholders for full transparency and accountability.
  • Support the project manager in resource allocation by monitoring team workload and identifying any potential bottlenecks to optimize workflow and project outcomes.
  • Act as a liaison between team members and external clients, facilitating communication and addressing inquiries to ensure client satisfaction and project success.
  • Conduct research and gather information relevant to ongoing projects, utilizing various sources to provide insights that inform project strategies and decisions.
  • Prepare meeting agendas and take detailed minutes during project meetings, distributing them to relevant parties to ensure accountability and effective follow‑up on action items.
  • Assist in onboarding new team members by providing them with necessary resources and training materials, fostering a welcoming and supportive environment for all staff.
  • Monitor project budgets and expenses, providing regular updates to the project manager to ensure financial objectives are met and resources are utilized efficiently throughout the project lifecycle.
  • Skills
    • Bachelor's degree in any discipline, providing a solid educational foundation for administrative tasks and project management.
    • Minimum of three years of relevant experience in administrative support, particularly within the engineering, procurement, and construction sectors of the power industry.
    • Proficient in project management software, essential for tracking progress and managing timelines effectively across multiple projects.
    • Strong communication skills in both Arabic and English to facilitate collaboration among team members and external stakeholders, ensuring clarity and understanding.
    • Excellent organizational abilities to manage multiple tasks and prioritize effectively in a fast-paced environment while maintaining attention to detail.
    • Familiarity with engineering terminology and document types, enhancing your effectiveness in supporting technical projects.
    • Experience dealing with government ministries or public relations, which is crucial for navigating project requirements and compliance.
