We are looking for a highly professional, proactive, and trustworthy Executive Personal Assistant to provide comprehensive support to a business owner managing multiple companies and international operations.
Responsibilities- Manage the executive's calendar, appointments, and daily schedule to ensure efficient time management.
- Coordinate domestic and international travel arrangements including flights, accommodations, visas, and ground transportation.
- Liaise with internal teams, suppliers, business partners, and external service providers to ensure timely communication and follow-up.
- Monitor ongoing projects, track deadlines, and ensure action items are completed on schedule.
- Prepare professional reports, presentations, spreadsheets, meeting agendas, and meeting minutes.
- Organize, maintain and safeguard confidential documents, records, and business information.
- Conduct market research, gather business intelligence, and prepare analytical summaries to support decision-making.
- Handle personal errands and administrative matters with the highest level of professionalism, discretion, and confidentiality.
- Assist in planning and coordinating meetings, corporate events, and business travel.
- Serve as the primary point of coordination between the executive and internal departments, ensuring seamless communication and operational efficiency.
- Minimum of 3 to 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role.
- Excellent verbal and written communication skills in English; proficiency in Arabic is an advantage.
- Exceptional organizational, planning, and time-management skills, with the ability to prioritize multiple tasks effectively.
- Strong attention to detail and a high level of accuracy in all work.
- Proficiency in Microsoft Office Suite, Google Workspace, and AI productivity tools such as ChatGPT.
- Demonstrated ability to work under pressure, meet deadlines, and maintain the highest level of confidentiality and discretion.
- Strong problem-solving skills with a proactive, resourceful, and solution-oriented approach.
- Flexibility to work outside standard business hours when required.
- Experience providing direct support to CEOs, founders, or senior business executives.
- Proven experience coordinating international travel, including flight bookings, accommodation, transportation, and visa applications.
- Valid driver's license is an advantage.
